At Vivalyx, a medical technology startup based in Aachen, we're on a mission to save the lives of those suffering from organ failure. Our innovative approach aims to significantly improve the vitality and availability of donor organs. As we are scaling, we're seeking an Office & People Manager (m/f/d) to join us starting as soon as possible, for 20-40 hours per week.

Aufgaben

As Office & People Manager, you are the central point of contact that keeps our day-to-day operations running smoothly. You create a welcoming, well-organized office environment and support our team so everyone can focus on building great products. You will coordinate internal and external events such as customer meetings, investor meetings, and team gatherings. You are the first point of contact for external inquiries, handle front-desk communication, and ensure that requests are routed efficiently. Internally, you support the team with practical matters such as travel booking questions, office logistics, and general administrative support. You manage relationships with our landlord and service providers. In a small and growing team, this role is hands-on and varied: you will not only organize and coordinate but also execute tasks yourself and continuously improve how things are done.

  • Strong sense of ownership, reliability, and attention to detail
  • Excellent organizational and coordination skills, with the ability to juggle multiple topics at once
  • Friendly, professional communication style and confidence as a first point of contact for external partners
  • Practical, solution-oriented mindset and willingness to handle both planning and hands-on tasks
  • Good proficiency in Microsoft Office (or equivalent tools)
  • Fluent in English, both written and spoken (German is a strong plus)
  • Ability to work on-site and a maximum commute time of 1.5 hours to Cologne
