Focused Energy is seeking an Office Manager to own the Darmstadt office operations, creating a welcoming and well-organised workplace for a growing team. You’ll manage supplies, vendors, guest relations, events, and all-hands logistics, while building scalable processes that reduce ad hoc requests.

The role requires hands-on, independent work in a fast-moving environment and fluency in German and English to collaborate across the company. Regular in-office presence is essential.

Your RoleAs our Office Manager, you will take full ownership of the workplace experience at Focused Energy. You will make sure our office runs smoothly, feels welcoming, and supports our growing team every day.From managing office supplies and welcoming guests to preparing workshop logistics, coordinating onsite events, and supporting all-hands meetings, you will be the person who brings structure, energy, and care to our workplace. You will also design and improve the processes that make office information easy to find and everyday requests easy to resolve.This is a highly visible, hands-on role for someone who enjoys creating order and connecting people. Because the role is centred on the onsite workplace experience, regular full-time presence in the office is required, making a meaningful difference to how a team works together onsite.

What You’ll Do

• Own the day-to-day operation and organisation of our Darmstadt office.
• Create, document, and continuously improve clear, consistent, and scalable office processes and workflows.
• Manage office consumables, supplies, equipment, and vendor relationships to ensure everything is available when needed.
• Coordinate guest management and help create a professional, welcoming experience for visitors, candidates, and partners.
• Plan and coordinate onsite events, team gatherings, and social activities.
• Support the preparation and smooth running of all-hands meetings and other company-wide moments.
• Keep office information organised and easy to access, reducing repetitive questions and ad hoc requests.
• Act as a central point of contact for office-related topics and coordinate effectively with colleagues across the company.
• Partner with the team to maintain a workplace that is functional, welcoming, and a great place to work.
• Identify opportunities to improve the employee experience and take ownership from idea through implementation.

What You’ll Bring

• Professional experience in office management, workplace operations, administration, hospitality, event coordination, or a similar hands-on role.
• Fluent German and English, both written and spoken.
• Exceptional organisational skills and a highly structured, reliable approach to work.
• Excellent communication skills and the ability to build positive relationships across different teams and seniority levels.
