Office Administrator (f/m/d) Location: Hamburg Department: Administration / Office Management Contract: FT / could be limited to two years

About the Position

As an Office Administrator (m/f/d), you will take on a central role in day-to-day operations. You ensure smooth processes in office management, support organizational and administrative workflows, and act as the first point of contact for both internal and external stakeholders.

Your Responsibilities
  • Reception & Front Office Professional management of the reception area as well as welcoming guests, service providers, and applicants Badge management for internal and external personnel.
  • Switchboard duties: receiving, forwarding, and handling incoming calls.
  • Managing external visitor access as well as organizing meetings and conference rooms.
  • General Administration & Office Management Incoming and outgoing mail, plus internal distribution of documents (Accounting, HR, Management).
  • Ordering and managing office supplies and consumables.
  • Maintaining filing systems, contract folders, and digital document archives.
  • Supporting general administrative tasks and process documentation.
  • Support in Pre-Procurement / Purchase Preparation Recording and preparing all data required for purchase orders.
  • Creating purchase requisitions (PRs) in internal systems.
  • Supporting the purchasing department through preliminary checks (signatures, cost centers, budget approvals).
  • Support in Invoice & Document Flow Forwarding invoices to accounting and tracking pending items.
  • Checking supplier confirmations, shipping documents, and basic documentation.
  • General Support Assisting with the organization of internal events, trainings, and meetings.
  • Maintaining contact lists and organizational overviews.
Your Profile
  • Completed commercial training, e.g., office clerk, office management assistant, or an equivalent qualification.
  • (Market data indicates typical salaries in Hamburg of approx. €36,700/year, with ranges extending above €52,000 depending on experience.)
  • Initial professional experience in office management, reception, or administrative support.
  • Confident use of MS Office; experience with ERP systems is an advantage.
  • Strong organizational skills, a structured working style, and a high level of service orientation.
  • Fluent German and good English skills in word and writing.
