We are looking for a highly-operational, hands‑on leader — Head of People Operations — who will own the day-to-day delivery of People services. This role combines practical execution (HRIS administration, SLA management, onboarding/offboarding, vendor management and automation) with proactive people-risk management: regular talent health-checks and a standardized 1:1 program with managers. The role is senior, requires people-management experience and strong influence at leadership level. The successful candidate moves fast, acts proactively and converts ideas into working systems and measurable outcomes.
Reporting line: CEO Team: HR Operations Specialists, HRIS Admin, HR Coordinators.
Your responsibilities
- Own HR Operations & HRIS. Full ownership of PeopleForce (or equivalent) administration: access/roles, data integrity, templates, integrations and runbooks. Conduct regular audits and drive data‑clean up
- Design, implement and operate SLAs. Define and maintain SLAs for onboarding, offboarding, employee requests, benefits, vendor response times and other core HR services. Monitor, report and drive compliance
- Build reliable onboarding/offboarding processes. Create checkpointed workflows, ownerable checklists and fallback scenarios (e.g., equipment delays), and ensure 100% compliance for mission‑critical steps
- Lead Talent Health-Checks (CRITICAL). Design and operate a repeatable process to assess team and talent health (pulse surveys, HRIS signals, qualitative 1:1 inputs). Produce an actionable risk register and prioritized remediation plans for flight risk, overload, or performance drift
- Standardize 1:1s. Define cadence, agenda templates and escalation triggers for 1:1s between HR and managers (and HRBP to key leaders). Ensure results are recorded and surfaced in dashboards to track follow-ups and outcomes
- Automate repetitive work. Implement workflow automations and integrations (approval flows, reminders, ticketing triggers) to reduce manual effort and speed response times
- Run incident management. Rapidly lead response to critical operational incidents (onboarding failure, benefits/payroll issues, compliance breaches), perform root‑cause analysis and implement prevention
- Vendor & benefits management. Own relationships and SLAs with benefits and service providers; manage renewals and elevate performance issues
- Reporting & dashboards. Produce operational KPIs, executive dashboards and regular reports for People, Finance and leadership
- People leadership. Build, develop and coach the HR Operations team; create runbooks and knowledge transfer processes
- Partner closely with HRBP, Recruitment, IT and Finance to ensure aligned, end‑to‑end employee experience
Behaviors & culture fit
- Proactivity: anticipates problems and initiates preventive action based on data and experience
- Mega-speed: exceptionally fast cycle times for decision making and escalation. Temporary pragmatic fixes are acceptable when followed by systemic remediation
- Practicality: prefers tested, low‑friction solutions that deliver measurable impact quickly
- Clear communication: transparent status updates, ownership of next steps, and timely stakeholder engagement
What we’re looking for
- 4+ years in HR Operations / People Ops / HRIS roles, with at least 1–2 years leading an operations team
- Hands‑on experience administering HRIS (PeopleForce / BambooHR / HiBob / similar) — implementation, daily admin, audits
- Demonstrated experience defining and running SLAs / KPIs for HR services and building dashboards
- Proven track record implementing talent health‑check programs and standardized 1:1 practices
- Technical literacy — experience with workflow automation / integrations (Zapier/Make/API) or close collaboration with engineering
- Strong stakeholder management and influence at leadership level
- English — working professional level
- High energy, bias for action and strong delivery orientation
Will be a plus
- Experience scaling HR operations in fast-growing international companies
- Direct experience with PeopleForce (big plus)
- Familiarity with labor law and compliance (Ukraine / Poland / EU)
- Experience building a centralized HR service desk
What you’ll get
- Autonomy and trust — freedom to improve what’s already in place, and build new things from the ground up
- A role with visibility and impact: your work touches every team across Newxel
- Supportive leadership, smart colleagues, and a culture where good ideas get implemented
- Transparent salary, performance bonus, full health insurance
- Full Remote
- 20+ vacation days, paid sick leave, and learning budget
