The Project Coordinator plays an important role in supporting the successful planning, execution, and delivery of projects across global teams. This position works closely with Project Managers, stakeholders, vendors, and cross-functional teams to ensure projects are delivered on time, within scope, and aligned with business objectives.
The ideal candidate is highly organized, detail-oriented, and proactive, with the ability to manage multiple priorities in a fast-paced environment. This role requires strong coordination, communication, and documentation skills, along with the ability to support project governance, reporting, and stakeholder engagement throughout the project lifecycle.
Key Responsibilities
Project Coordination & Planning
- Support Project Managers in coordinating internal resources, third-party vendors, and stakeholders to ensure successful project execution.
- Assist in defining project scope, objectives, timelines, and deliverables.
- Maintain project schedules and monitor progress against established milestones.
- Track project activities, dependencies, and action items to ensure timely completion.
- Support project planning activities and documentation throughout the project lifecycle.
Project Execution & Delivery Support
- Monitor project status and assist in ensuring projects are delivered on time, within scope, and within budget.
- Support task coordination and follow-up among project team members.
- Assist Project Managers in managing day-to-day project operations and deliverables.
- Maintain accurate project records and documentation.
Stakeholder & Client Management
- Coordinate meetings with internal and external stakeholders.
- Document meeting notes, action items, risks, and project decisions.
- Support communication between project teams and stakeholders.
- Help maintain positive working relationships with clients and internal teams.
- Assist in identifying, documenting, and tracking project risks and issues.
- Support mitigation planning and escalation processes when necessary.
- Proactively communicate potential project concerns and roadblocks.
Regulatory Operations Support
- Partner with Regulatory Operations teams to support asset submission processes.
- Assist with kick-off processes, document annotation activities, and project coordination related to regulatory requirements.
Reporting & Documentation
- Create and maintain project documentation, trackers, status reports, and project records.
- Develop spreadsheets, presentations, diagrams, process maps, and project materials.
- Support project reporting and provide project updates to stakeholders.
- Participate in post-project reviews and lessons learned activities.
- Identify opportunities to improve project coordination processes and workflows.
- Support implementation of best practices and process improvements.
- Contribute to a culture of collaboration, efficiency, and operational excellence.
Key Qualifications & Competencies
- Bachelor's degree in Business Administration, Marketing, Communications, Project Management, Engineering, or a related field.
- 1-2 years of experience in Project Coordination, Project Management Support, PMO, or similar roles.
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Experience coordinating projects and working with multiple stakeholders.
- Strong documentation, reporting, and communication skills.
- Proficiency in Microsoft Office Suite, including Excel, PowerPoint, Word, and Project.
- Experience with collaboration and project management tools such as Jira, Confluence, Workfront, OneDrive, or Microsoft Teams is preferred.
- Familiarity with Agile, Scrum, Waterfall, or other project management methodologies is a plus.
- Strong problem-solving skills and attention to detail.
- Intermediate to Advanced English proficiency (B1-B2+) with the ability to collaborate effectively in a global environment.
