This Junior Administrative Assistant consultant role is crucial for supporting the administrative and finance team of the UN-Habitat Andean Countries HUB. The primary purpose is to ensure the efficient and effective functioning of the HUB by providing comprehensive administrative and operational support. This includes assisting with procurement processes, managing administrative workflows, liaising with internal and external stakeholders, and contributing to project management. The role also involves supporting knowledge management by systematizing processes and good practices, ensuring projects meet their objectives in terms of deadlines, budget, and quality, and facilitating smooth communication and operations within the HUB.
Key responsibilities include providing day-to-day administrative and operational support to ensure smooth office functioning. This involves identifying suppliers and preparing for procurement processes for HUB Projects. The role requires liaising with internal teams and external counterparts to support administrative workflows and monitoring deadlines with timely follow-up. Assisting in the development of presentation materials and participating in meetings with the administrative team and counterparties are also key duties. The consultant will maintain communication channels for project development, provide technical support to the HUB Coordination and project coordinators, and support the systematization of processes and exchange of best practices. Additional duties include supporting administrative services for specific transactions, including travel, and assisting project coordination with mission agendas. The role also encompasses general office support, data entry, updating administrative records, and supporting knowledge management activities through organizing and maintaining project documentation.
A high school diploma or equivalent is required. A Bachelor's Degree in a related field such as Business Administration, Public Administration, Management, Economics, Information Management, or Social Sciences is desirable. Proficiency in standard office software (MS Office or equivalent) and digital tools is essential.
A minimum of six months to one year of experience in project management, administrative processes, and cooperation is required. Previous experience with the United Nations is desirable. Strong attention to detail, good organizational and time-management skills, and the ability to handle multiple tasks in a dynamic work environment are also necessary.
