Global Partnerships seeks an experienced Administrative Assistant to provide critical administrative, tax, and compliance support to its Bogotá, Colombia office. This part-time position is responsible for day-to-day functioning of the Colombian office and will liaise with the Seattle finance team and local accountants.

The ideal candidate will be proactive, highly organized, and able to manage multiple priorities while ensuring regulatory compliance and smooth office operations.

Responsabilidades

  • Provide HR administration support for the Colombia office.
  • Monitor and coordinate compliance with Colombian regulatory requirements.
  • Serve as primary contact with third-party accountants and local vendors.
  • Manage DIAN items and other government correspondence.
  • Maintain Colombia compliance calendar and tax obligations.
  • Oversee office operations including vendor payments and facility services.
  • Coordinate IT equipment and asset registers; arrange meetings and travel.
  • Support finance team in Seattle on related tasks as needed.

About this Role

Global Partnerships seeks an experienced Administrative Assistant to provide critical administrative, tax, and compliance support to its Bogotá, Colombia office. This part-time position is responsible for the day-to-day functioning of the Colombian office and will serve as a key operational asset for the organization’s Latin American operations. The ideal candidate will be an experienced, proactive, and independent administrator who assumes personal ownership for the smooth running of the office and for maintaining Global Partnerships’ Colombian entity in good standing. The Administrative Assistant will be based in Global Partnerships’ Bogotá office and will work closely with the Finance team in Seattle as well as the Bogotá team and local third-party accountants. This is a part-time position working approximately 24 hours per week, with in-office hours from 8:00 a.m. to 5:00 p.m. Tuesday through Thursday, though hours may be adjusted occasionally based on daily projects. The successful candidate will exemplify Global Partnerships’ commitment to mission, respect, collaboration, and excellence while managing complex administrative and compliance responsibilities in a Colombian regulatory environment.

Responsibilities
  • Provide human resources administration support for the Colombia office
  • Monitor and coordinate compliance with new Colombian regulatory requirements, including support for the RIT implementation
  • Serve as the primary point of contact with third-party accountants, liaising among the Bogotá office, the Accounting and Administration team in Seattle, and NDR (accounting outsourcing)
  • Address any DIAN items and facilitate other government correspondence
  • Maintain the Colombia compliance calendar
  • Facilitate vendor payments including office lease, building management fees, utilities, and internet
  • Track expenses for the Bogotá office
  • Coordinate the annual transfer pricing publishing process and provide related support
  • Provide documentation to the statutory auditor
  • Ensure the timely payment of taxes including Retefuente, IVA, Reteica, and Renta
  • Maintain Colombia corporate and compliance records
  • Communicate with the Finance team in Seattle on a regular basis concerning all of the above
  • Oversee the day-to-day running of the Bogotá office
  • Coordinate building services, maintenance, and cleaning
  • Manage the relationship among the Bogotá office, the lessor, and the building management company
  • Purchase and maintain office and kitchen supplies
  • Manage the front desk, visitors, mail, and couriers
  • Arrange internal meetings, office events, and travel bookings
  • Coordinate office IT equipment and maintain the asset register
  • Support local health and safety (SG-SST) requirements at the office level
  • Administer local office vendors and service contracts
  • Provide support for the Finance team in Seattle on similar tasks on an as-needed basis

  • 2 plus years of relevant professional experience providing administrative, human resources, and office management support in a professional environment preferred
  • Experience with Colombian labor, tax, and regulatory requirements, including DIAN filings and statutory audit support, preferred
  • Experience working with remote global teams preferred
  • Proficiency in Microsoft Office tools, including strong Excel skills, required
  • Excellent academic track record with undergraduate degree required
  • Ability to reside and work legally in Colombia for Global Partnerships S.A.S. without visa sponsorship required
