The HR Analyst is responsible for the accurate, timely and compliant execution of Trewhelas School core HR Analyst, with primary responsibility for payroll, time and attendance, absenteeism, employee administration and HR data.
Working closely with the HR Director, Finance, school leadership, Regional HR and external providers, the role ensures that employee information and payroll inputs are accurate, HR processes are properly documented, deadlines are consistently met and reliable HR data is available to support effective decision-making.
The HR Analyst owns the day-to-day administration of the employee lifecycle, including employee records, contracts and employment documentation, leave and absence administration, benefits, HR systems, onboarding and offboarding processes and operational HR reporting.
The role acts as a key point of contact for employees and managers on operational HR matters and is expected to provide a responsive, accurate and high-quality HR service across the school.
The HR Analyst will work in close partnership with the HR Director, who retains overall leadership and governance of the People agenda, while taking ownership of the effective execution and control of the school's HR operations.
KEY DUTIES
PAYROLL OPERATIONS
- Coordinate and execute the monthly payroll process, ensuring accurate and timely processing in partnership with Finance and the external payroll provider.
- Own the monthly payroll calendar and ensure all inputs, validations, approvals and submissions are completed within established deadlines.
- Consolidate and validate all payroll inputs, including new hires, terminations, salary changes, contractual changes, absences, leave, deductions, allowances, benefits, bonuses and other employee movements.
- Reconcile payroll calculations before final approval and proactively identify, investigate and resolve discrepancies.
- Ensure employee attendance, absence and leave information is accurately reflected in payroll.
- Maintain appropriate payroll documentation, supporting evidence, controls and approval records.
- Coordinate payroll-related statutory information and processes with relevant local providers and authorities.
- Prepare payroll reconciliations and reports for the HR Director and Finance.
- Maintain accurate historical payroll records and supporting documentation.
- Respond to employee payroll queries and investigate and resolve discrepancies in a timely and confidential manner.
- Support calculations relating to terminations, final settlements, leave and other employment payments in coordination with the HR Director, Finance, payroll provider and legal counsel, where appropriate.
- Support payroll audits and provide required documentation and evidence.
- Identify opportunities to strengthen payroll controls, accuracy and process efficiency.
- Escalate material payroll risks, errors or inconsistencies promptly to the HR Director.
TIME, ATTENDANCE & ABSENTEEISM
- Own the day-to-day administration and control of employee time and attendance across the school.
- Ensure absences, lateness, leave and other attendance occurrences are accurately and timely recorded.
- Receive, validate, record and maintain supporting documentation related to employee absences and leave.
- Ensure attendance and absence information is correctly reflected in payroll and relevant HR systems.
- Follow up proactively with employees and managers regarding missing, incomplete or inconsistent attendance information.
- Reconcile absence information received from academic and non-academic departments against HR and payroll records.
- Maintain reliable and auditable monthly absence records across the school.
- Prepare regular absenteeism reports, including frequency, duration, reasons, patterns and other relevant indicators.
- Identify recurring attendance patterns or inconsistencies and elevate them to the HR Director for appropriate review and action.
- Provide accurate attendance data to support employee relations processes and management decision‑making.
- Support the HR Director in monitoring attendance‑related actions and agreed follow‑ups.
- Ensure confidentiality and appropriate handling of medical certificates and other sensitive employee documentation.
- Recommend improvements to attendance processes, controls and reporting based on identified gaps or recurring issues.
EMPLOYEE ADMINISTRATION & EMPLOYMENT DOCUMENTATION
- Manage the operational administration of the employee lifecycle from hiring through termination.
- Prepare employment contracts, amendments and other employment documentation based on approved terms and conditions.
- Ensure all employee documentation is complete, accurate, properly approved and issued within required timelines.
- Maintain accurate and complete personnel files, both physical and digital, in accordance with school, NAE and applicable local requirements.
- Manage employee documentation relating to contractual changes, salary changes, working hours, positions and other employment movements.
- Administer annual leave, medical leave, parental leave, special leave and other applicable employee absences.
- Maintain accurate records of employee leave balances and entitlements.
- Coordinate required documentation and administrative processes for employee terminations and final settlements.
- Ensure employee lifecycle changes are communicated to the appropriate internal stakeholders and external providers.
- Maintain appropriate confidentiality and secure handling of employee information.
- Regularly review employee files and identify and resolve missing or outdated documentation.
- Ensure personnel files and employment records remain audit‑ready.
HR SYSTEMS, DATA & REPORTING
- Maintain accurate and timely employee data in SuccessFactors and other HR systems used by the school.
- Process new hires, employee changes, transfers, reporting‑line changes and terminations accurately and within required timelines.
- Regularly reconcile HRIS information against payroll and employee documentation.
- Identify and correct inconsistencies between HR systems, payroll and personnel records.
- Maintain accurate organisational and reporting‑line information.
- Support the HR Director in maintaining reliable headcount and FTE information.
- Prepare recurring HR operational reports, including headcount, FTE, turnover, absenteeism, leave, payroll movements and other relevant indicators.
- Provide accurate HR data and reports requested by the school, Regional HR, Finance and NAE.
- Support engagement, workforce planning and other People processes by ensuring underlying employee data is accurate and complete.
- Monitor data quality and proactively address errors and gaps.
- Support the digitalisation and continuous improvement of HR documentation and processes.
- Maintain appropriate controls over confidential employee information and HR system access.
Benefits Administration
- Coordinate the day-to-day administration of employee benefits.
- Process employee enrolments, exclusions and changes with benefits providers.
- Maintain accurate employee eligibility and benefits records.
- Review provider information and invoices against employee records and identify discrepancies.
- Respond to employee questions regarding benefits and provide appropriate guidance or elevate complex matters when required.
- Support the HR Director with benefits communications and implementation of benefit changes.
- Liaise with providers to resolve operational issues and ensure service standards are maintained.
- Maintain appropriate documentation relating to benefits administration.
- Support periodic reviews and audits of benefit data and provider information.
HR PROVIDERS & OPERATIONAL COORDINATION
- Maintain day‑to‑day relationships with payroll, benefits and other HR service providers.
- Monitor agreed deliverables, deadlines and service quality.
- Follow up on operational issues and ensure appropriate resolution.
- Validate information and documentation received from providers.
- Support the HR Director with provider reviews and service improvement initiatives.
- Maintain organised records of relevant HR provider documentation.
- Coordinate operational HR activities with Finance and other school departments as required.
PERSONAL SPECIFICATIONS
- Bachelor’s degree in Human Resources, Business Administration, Accounting, Psychology or a related field.
- Minimum 3–4 years of relevant Human Resources experience, with strong hands‑on exposure to HR operations and employee administration.
- Demonstrated practical experience in payroll administration and payroll controls.
- Experience managing time and attendance, absenteeism and employee leave processes.
- Good working knowledge of Chilean employment administration and payroll practices.
- Understanding of applicable Chilean employment requirements and statutory processes.
- Experience preparing and maintaining employee contracts, documentation and personnel files.
- Strong numerical and analytical skills and exceptional attention to detail.
- Experience working with HR systems and maintaining employee data; SuccessFactors experience is highly desirable.
- Strong Microsoft Excel skills and ability to work confidently with HR and payroll data.
- Fluent Spanish, both written and spoken, and professional working proficiency in English.
- Ability to manage confidential and sensitive employee information appropriately.
- Strong organisational and time‑management skills, with the ability to manage multiple deadlines and recurring monthly processes reliably.
- Strong interpersonal and employee‑service skills.
- Previous experience in an international organisation, school or educational environment is desirable.
- Experience working with external payroll and benefits providers, international employees, HR audits and compliance reviews is desirable.
