Zusammenfassung

CSL Behring is seeking a Project Coordinator, Tech Ops in Bern to support integrated project teams across capital and operational projects. You will coordinate procurement, contracting, and financial planning, ensuring alignment with budgets and forecasts while maintaining compliance.

The role requires proactive stakeholder engagement, strong analytical skills, and experience in a regulated life sciences environment. Fluency in English beneficial; German is an advantage.

Qualifikationen

  • Bachelor/Master/PhD in Life Sciences, Engineering or related field with business/finance exposure.
  • Experience in project coordination and procurement/financial administration in regulated environments is preferred.
  • Strong Excel and PowerPoint skills with ability to present to senior leadership.

Aufgaben

  • Manage end-to-end Professional Service and Consultant PO processing and TechOps contracting activities.
  • Support CapEx coordination and update Small Investment CapEx buckets in Clarity.
  • Collaborate with cost center managers on expense planning and forecasts.
  • Present OpEx/CapEx updates in Tier Meetings and provide guidance on new initiatives.
  • Interface with external partners and internal contracting teams to ensure compliant sourcing and onboarding.

The Opportunity

The Project Coordinator, Tech Ops supports our Integrated Project Teams (IPTs) and cross-IPT activities in the planning and execution of capital and operational projects. As a central business operations partner, the role brings together financial and contracting management across the Tech Ops portfolio – covering purchasing and contracting execution, CapEx and OpEx planning, standardized reporting and the coordination of internal stakeholders and external partners. In doing so, it ensures projects are delivered efficiently and transparently, in line with budget, forecast, and compliance requirements. You will not lead a single project, but enable many. The position reports to the Business Operations Lead in Tech Ops.

Main Responsibilities and Accountabilities
  • Manage the end-to-end processing of Professional Service and Consultant purchase orders and the related TechOps OpEx and CapEx contracting activities, ensuring timely creation and management of Purchase orders, accurate cost allocation across cost centers and projects, support invoice approvals, and adherence to established processes via the appropriate business service channels.
  • Small Investment TechOps CapEx coordination: Support IPT leads and requesters in preparing and aligning CapEx requests, keep the Small Investment CapEx buckets in Clarity up to date. Ensuring capital TechOps projects are executed in line with overall project delivery & portfolio objectives.
  • Partner with cost center managers and functional line management to support expense planning and ensuring alignment with budget and forecast cycles.
  • Contribute to Tier Meetings by presenting updates on OpEx, CapEx, contracting topics, and provide guidance on new business operations initiatives.
  • Act as a key interface for external partners and the Contracting, CDMO & CRO teams, supporting contract progression and the efficient sourcing and onboarding of resources for IPT teams, while ensuring compliance with legal and procurement standards and alignment on standardized forecasting approaches.
Your skills and experience

We are looking for a self-starter rather than a subject-matter specialist: someone who approaches people across the organization proactively, takes things into their own hands and is genuinely motivated by making processes better.

Essential
  • A scientific background – Bachelor, Master or PhD in Life Sciences, Natural Sciences or Engineering – combined with a strong interest in business processes and financials and first practical experience in this area. Degrees in Business Administration or Finance with relevant exposure are equally welcome.
  • Highly self-motivated and proactive: you reach out to stakeholders on your own initiative, take ownership and drive topics to closure without being managed through them.
  • The willingness and confidence to question established ways of working and to define new processes – and the pragmatism to make them work in practice.
  • 2–5 years of experience in business operations, project coordination, project management, procurement or financial administration, ideally in pharma, biotech or a comparable regulated environment.
  • Solid financial and operational acumen: comfortable with budgets, forecasts, cost center and WBS logic, and able to explain variances clearly to non-finance stakeholders.
  • Experience with the contracting process
  • Advanced Excel skills and the ability to turn data into a clear message in PowerPoint for senior leadership..
  • Structured, accurate and reliable, with a compliance mindset; you keep many parallel requests moving and communicate confidently with senior stakeholders across sites and time zones.
  • Comfortable operating in ambiguous environments, taking informed decisions, learning quickly from experience, asking the right questions to improve processes and decision-making
  • Fluent in English (written and spoken); German is an advantage.
Desirable
  • Experience with a project portfolio management tool (e.g. Clarity PPM) and with procurement platforms such as Ariba.
  • Understanding of GMP/GxP-regulated environments and exposure to CDMO or CRO collaborations.
  • Familiarity with planning and consolidation tools (e.g. SAP, BPC), capital investment or contingent workforce processes.
