FAO Liaison Offices are strategically placed in locations with a large UN hub and significant presence of international and intergovernmental organizations, global financial institutions and Non-Governmental Organizations (NGOs). The Liaison Office with the United Nations in Geneva is responsible for the liaison with the Government of Switzerland, the country's civil society and the International Organizations based in Geneva, Switzerland. Considering the presence of a large number of international organizations, Member States and Non-Governmental Organizations, which provides a significant platform for engagement and partnership with key stakeholders, the Liaison Office i) ensures that relevant FAO Governing body decisions and the overall work of the organization are brought to the policy dialogues, mechanisms and relevant discussions in Geneva; ii) promotes and raises awareness on FAO's technical work and activities, among Members and Organizations in Geneva, and the general public; iii) serves as the focal point for Members accredited to FAO from Geneva.
The position is located in the Office of the Director, Liaison Office with the United Nations (LOG), in Geneva, Switzerland.
The Office Assistant coordinates and performs the full range of office support, management support and administrative tasks, providing for the smooth and efficient running of the Office. The incumbent ensures quality and consistency of the flow of office work and information in the work unit.
The Office Assistant reports to a (Senior) Liaison Officer and receives guidance from the Director of the Office. For specific administrative tasks, the incumbent receives functional guidance and oversight from the Administrative Officer.
The incumbent operates independently, takes decisions on work priorities and exercises initiative for dealing with cases without precedents. Supervision received is focused on the quality of work output. The incumbent provides guidance and advice to other office support staff.
The Office Assistant works closely with a wide range of colleagues in the office, with central units and external clients, performing and coordinating office and management support services and providing procedural guidance and information.
The incumbent's work impacts directly on the smooth and efficient running of the Office. He/she plays a lead role in the provision of office support services for successful achievement of the organizational unit's mandate.
Education: Secondary School Education.
Experience: Four years of relevant experience in office/management support work.
Languages: Working knowledge (proficiency - level C) of English.
IT Skills: Very good knowledge of the MS Office applications, Internet and office technology equipment.
Residency: General Service Staff are recruited locally. To be eligible for this position, candidates must be nationals of the country of the duty station or possess an existing valid visa to work or a valid work permit and reside within commuting distance of the duty station at the time of the application. "Commuting distance" means the distance within which staff members can travel daily between their place of work and their residence.
