Job Description

Reporting directly to the Chief Executive Officer, the Executive Assistant will act as a key operational partner and central coordination point across the organisation. This is a high‑trust role combining executive support, governance coordination and organisational oversight in a fast‑paced and confidential environment.

This role goes beyond traditional administrative support and requires autonomy, judgment and the ability to operate across strategic, operational and institutional matters.

The role provides close, day‑to‑day support to the Chief Executive Officer, ensuring that priorities are clear, time is used effectively and actions move forward. This includes overseeing scheduling and meetings, preparing concise and useful background materials, coordinating travel arrangements, and maintaining visibility on commitments and next steps. The position requires the ability to exercise sound judgment, manage sensitive information discreetly and act as an effective first point of review for incoming requests.

The Executive Assistant also supports the organisation's governance and external relationships by ensuring Board and committee meetings run smoothly from preparation through follow‑up. This includes coordinating materials, documenting outcomes, monitoring decisions and deadlines, and supporting ongoing interaction with institutional and financial partners in a reliable, professional manner.

At an operational level, the role contributes to the smooth functioning of the organisation by supporting internal coordination, recruitment logistics and onboarding, as well as planning and delivering internal and external meetings or events. The position works closely with a range of external providers (legal, fiduciary, HR, IT, communications) to ensure requests are handled efficiently and issues are followed through.

In addition, the role supports executive communications and basic organisational oversight, including assisting with CEO speaking materials, coordinating with communications partners when needed, tracking executive expenses, and consolidating administrative or compliance‑related inputs. The position calls for someone comfortable working independently, staying organised under pressure and maintaining accuracy and reliability in a fast‑paced environment.

The Successful Applicant
  • Minimum 5 years' experience supporting senior leadership (CEO, Executive Director, Secretary‑General)
  • Background in a mission‑driven environment (foundation, NGO, international organisation, impact‑driven company, scale‑up)
  • Proven ability to operate across strategy, operations, administration and communications
  • Strong organisational skills and ability to manage multiple priorities under pressure
  • Excellent written and verbal communication skills in French; professional fluency in English is required
  • German is a big plus.
  • High level of autonomy, anticipation and reliability
