Job Description
TheBusiness ManagementAssistantwill supportIOLegal Team,members of the MT of the InvestmentOfficeand the CIO.The role provides paralegal and legal-administrative support to the Investment Officeunder the direction of the Head ofInvestment Support.The rolealsosupports the CIO and members of the MT with general administrative support.
Administrative processes and controls:
- Coordinate governance and investment-related meetings, including preparing agendas,compilingand distributing board packs and papers, attending whererequired, recording minutes/actions and ensuringtimelyfollow-up.
- Supportregular regulatoryfilingsand ongoinggovernanceobligations,includingmaintaininggovernance calendars and providing administrative support to board members.
- Coordinate documentexecutionand archivingin close collaboration withIOLegal Counsel, ensuring transaction documents are properly completed and filed.
- Coordinateinvestment approval and execution processeswith board members and IO professionals,includingmanagingoutgoing KYC/AML requirements, KYCpacksand bank account openingsupport.
- Manage the KYC inbox by reviewing,prioritisingand responding to incoming communications, proactivelymonitoringdeadlinesand escalating follow-up items as needed.
Business Management Responsibilities:
- Supportthe Operations and Risk teamsbycompilinginformation andreports for the quarterly Investment Committee and other relevant committees.
- Monitor keyOperations and Riskprocesses,projectsand transaction implementationworkstreams, includingKYCandODD, providingstatusupdates, completingkeydocumentationand escalating issues whereappropriate.
- UsePowerPoint,Tableauand other toolstohelp preparepresentation materials, investmentreportsand internal communications.
- Arrange businesstravel, includingtickets and accommodation through the company tool,in line withtravel and expensepolicies.
- ProcessMT members’expensesaccurately andontime.
- Manage andprioritisecalendars,coordinate internal and externalmeetings,optimisemanagers’timeand monitor planning deadlines.

Qualifications
KEY QUALIFICATIONS & SKILLS
- Must have visa/full working rights and be based inSwitzerland
- Education and experience:Bachelor’s degree preferred, or extensive experience in a role requiring similar skills and tasks.
- Investment Industry:Experience of working in, or knowledge of, investmentorganisationsand/or financial institutions, professional services firms (legal, consulting, advisory) an advantage.
- Proficiencywith Software Tools.Visual communication will be your thing. Effective use of Excel and PowerPoint withgood experienceof preparing slide decks (creating documentation for Boards and Committees): Ability to use software tools to bring strategic ideas and complex planning to life with clarity and simplicity.Proficiencyor willingness to apply other software applications (e.g.Visio, Notion, Tableau)alsovery useful.
- Governance Support:Experience of executing company secretary duties (e.g.preparing agenda, drafting meeting minutes, tracking deliverables)
