The Kingston Pickleball Club is a thriving, not-for-profit organization with 7 dedicated indoor courts, located in the west end of Kingston, Ontario. We offer state-of-the-art facilities for the enjoyment of our members and guests, whether for personal reservations, Club-organized programs, clinics, lessons, or tournaments.
Position Overview:
Under the direction of the O & F Chair, you will be an enthusiastic, friendly, self-motivated, hard worker, overseeing all aspects of the daily operations and activities of the club. You will be committed to ensuring a high-quality, positive experience for members, guests, and volunteer staff. This role includes maintaining compliance with safety standards.
Nature of Position:
Average expected workload is 40 hours per week including lunch (30 minutes) and breaks (15 minutes x 2 per day); occasional flexibility is required for weekend or after hours events
The Club Operations and Facilities Coordinator reports to the O & F Committee Chair and is accountable to the Board of Directors
General Roles and Responsibilities:
Assume the attendance duties as required, greeting players and spectators in a friendly and professional manner whether in person, by phone or by email
Be available to work flexible hours, including weekends and evenings if required
Oversee maintenance and functionality of all Club facilities and equipment and ensure cleanliness of all common areas including washrooms, locker rooms, hallways, kitchen, lounge and high-touch areas
Train, schedule, coordinate and oversee the volunteers, who will be covering the hours of operation when the Operations Manager is not on site
Monitor daily use of Court Reserve booking system, communicating issues to the Club’s Court Reserve administrator, assisting members with technical problems or questions, monitoring booking and sign-ups and providing reports to the O & F Cmte as required
Be willing to learn new technologies as needed
Monitor and review the membership database to ensure accuracy of member information and statistics
Attend O & F Cmte and Board meetings if required
Liaise with the O & F Cmte Chair as required to manage day-to-day operations
Follow Health and Safety workplace protocols
Take the lead in the event of an emergency
Maintain and log any concerns, hazards and incidents requiring follow-up or Cmte/Board intervention
Other duties as required
Qualifications & Skills:
With the many tasks involved in the day-to-day operation of the facility, you will demonstrate:
Post-secondary education or equivalent experience
Exceptional interpersonal skills that show respect, empathy and good listening skills
Outstanding organizational and problem-solving skills with the ability to be flexible, adaptable and act promptly
Excellent communication skills (verbal and written)
Ability to manage conflict situations – inform/remind patrons of the rules and expectations
Strong leadership, organizational, and communication skills
Social media experience an asset
Proficiency in budget management and administrative tasks
Teamwork and dedication to the organization
Demonstrate potential for growth with the organization
Training and Experience:
You will possess:
The ability to become technically proficient in court management, word processing and spreadsheet software
The ability to resolve problems and manage people
A valid Criminal Record Check
You also must be willing to take training to fulfill your position, as deemed necessary by the Club.
Budget & Financial Oversight: Attention to detail, patient enough to document, flexible and creative for unusual situations with solutions that would pass an audit. Sign and adhere to the Club's Confidentiality Agreement.
Employment:
Permanent position with a 3-month probation period
Flexible 40-hour week
Minimum of 2 weeks notice of termination is required by the employer and employee
Start date: 16 June 2025 or sooner if both parties agree
