Job description

At Tecsys Inc., your work doesn’t just move products, it helps ensure patients get what they need, when they need it!

What You’ll Be Part Of

You will help power the supply chains behind critical industries like healthcare, where reliability isn’t optional, it’s essential.

We’re a growing global company rethinking how supply chains operate in a digital-first world. Here, people are trusted, empowered, and supported to do their best work, wherever they are. We are a remote first company! We earn trust daily through integrity and consistency, build each other up by recognizing every person's strength and working as one team, and explore boldly by staying curious and embracing change to drive real impact. That's who we are, and it's who you'll be joining.

You’ll join a culture driven by curiosity, continuous learning, and people who challenge what’s possible.

Why This Role Matters

As a Workplace Experience Coordinator, you will join our Workplace Experience Management group; a team at the heart of Tecsys’s commitment to creating an exceptional workplace experience for both employees and visitors. You’ll be responsible for the day-to-day coordination of office operations, facilities, employee services, workplace programs, and company events.

The Workplace Experience Coordinator serves as a trusted partner to employees and vendors, ensuring that the workplace environment supports productivity, collaboration, well-being, and Tecsys' culture. The role requires a high level of organization, attention to detail, customer service, and the ability to manage multiple priorities in a fast-paced environment.

What You’ll Do
  • Coordinates daily office operations and serves as the first point of contact at reception, greeting employees, candidates, and visitors while managing calls, inquiries, and visitor registration/badging.
  • Manages office, kitchen, and workplace supplies, and coordinates facility maintenance, cleaning, and vendor relationships with building management and contractors.
  • Maintains common areas, conference rooms, and amenities, and supports office moves, workspace reconfigurations, and physical setup for meetings and events.
  • Acts as the primary contact for workplace-related employee requests, supporting onboarding/offboarding logistics (workstation readiness, equipment, shipping) in partnership with HR and IT.
  • Supports employee engagement, training coordination, and welcome experiences that reinforce a positive workplace culture.
  • Plans and executes employee events, celebrations, and wellness/recognition programs, handling logistics like catering, vendor coordination, and invoice tracking.
  • Supports health, safety, and security initiatives, including emergency preparedness, visitor access protocols, workplace inspections, and compliance with building regulations.
What You Bring

We’re less focused on checking every box and more interested in what you bring to the team. If most of this sounds like you, we encourage you to apply:

  • Bilingualism (effective verbal & written communication skills in both English and French) is a must.
  • 3-5 years of experience in office administration, facilities coordination, workplace experience, or a related operations role, ideally within a corporate or fast-paced office environment.
  • Strong interpersonal and customer service skills, with experience serving as a primary point of contact for employees, visitors, and stakeholders in a professional, welcoming manner.
  • Proven ability to manage multiple priorities simultaneously with strong organizational skills and attention to detail.
  • Experience supporting planning and executing employee events, engagement initiatives, or workplace programs, including logistics such as catering, vendor coordination, and budget/invoice tracking.

English is required for this position because the selected candidate will need to communicate regularly with colleagues, clients, or partners located outside Quebec.

Why You’ll Love It Here
  • A dynamic, in-office environment where you're at the heart of our workplace culture, working 5 days a week to support our team during core office hours.
  • Benefits and Vacation as of day one!
  • Pension Plan with competitive employer contribution.
  • Engaging Employee Events and Community Initiatives
  • Learn, stretch, and take on new challenges
  • Collaborate with global teams in a culture that values partnership, innovation, and shared success
  • We foster an inclusive workplace where everyone feels valued, respected, and empowered to thrive.
