Job description

Warranty Coordinator Job Description

The warranty coordinator is responsible for providing excellent customer service and support. You will ensure that customers have a positive experience with their warranty and seasonal items, resolving any issues they may have in a timely and professional manner. You will also be responsible for maintaining accurate records of warranty coverage and claims.

ESSENTIAL FUNCTIONS
  1. Responsible for customer communications for all seasonal inquiries.
  2. Responsible for obtaining updates from the Construction team and maintaining seasonal tracking sheet.
  3. Communicate directly with trades on failed inspections for seasonal items.
  4. Update all documents to the online portal.
  5. Respond to all customer queries via phone or email within 2 business days upon receipt.
  6. Book all walk-throughs and inspections, including pre-possession inspection, pre-occupancy walkthrough, possession, one-month, and one-year walkthroughs.
  7. Coordinate with other departments as required to facilitate bookings.
  8. Manage Outlook calendar for Warranty Superintendents for customer appointments.
  9. Diagnose customer concerns and triage accordingly.
  10. Schedule initial trade days with homeowners and trades.
  11. Create work orders and send to trades as required.
  12. Create and send purchase orders to trades for non-warrantable work.
  13. Generate back charges as required.
  14. Follow up on open work orders to ensure timely closure.
  15. Update systems and processes with correspondence from homeowners, trades, or field techs.
  16. Manage documentation and perform general administration, including:
  • Warranty deficiencies on possession.
  • Providing homeowners with necessary documentation.
  • Electronic filing of all required documentation.
  • Perform other related duties as assigned.
