Downtown AutoGroup in Toronto, ON is seeking an experienced Warranty Administrator to join our Service Department. The successful candidate will process, submit, and reconcile Ford warranty claims, ensuring compliance with Ford policies and Reynolds Ignite workflow.
The role requires attention to detail, the ability to manage multiple claims, and collaboration with Service Advisors, Technicians, Parts, and Management to maximize warranty recovery while maintaining accurate records.
We are seeking an experienced and detail-orientedWarranty Administratorto join our Service Department. The successful candidate will be responsible for accurately processing, submitting, tracking, and reconciling warranty claims while ensuring compliance withFord Motor Company warranty policies and procedures.
Experience withReynolds Igniteand Ford warranty administration is strongly preferred. This position is ideal for someone who understands dealership service operations, has exceptional attention to detail, and can effectively manage claims from initial repair order through final payment.
Process and submitFord warranty claimsaccurately and in a timely manner.
Review repair orders for completeness, accuracy, proper coding, documentation, and required supporting information.
Ensure warranty claims comply withFord warranty policies, procedures, and documentation requirements.
Verify labour operations, parts, sublet, causal parts, and other claim components before submission.
The ideal candidate will havehands-on Ford warranty administration experience, a strong working knowledge ofReynolds Ignite, and a proven ability to maximize warranty recovery while maintaining accurate and compliant claims. Experience with other OEM warranty systems and dealership management systems will also be considered.
Monitor submitted claims and follow up on rejected, returned, or unpaid claims.
Research and resolve claim discrepancies and warranty rejections.
Maintain accurate warranty records and documentation.
Reconcile warranty receivables and assist with month-end warranty accounting.
Work closely with Service Advisors, Technicians, Parts, and Management to ensure warranty claims are properly documented.
Communicate with Ford warranty representatives when clarification or assistance is required.
Stay current with changes to Ford warranty programs, policies, and procedures.
Identify opportunities to reduce claim errors and improve warranty recovery.
Perform other administrative duties related to warranty and service operations as required.
Previous experience as aWarranty Administrator in an automotive dealershipis preferred.
Ford warranty experience is strongly preferred.
Experience usingReynolds Igniteis strongly preferred.
Strong understanding of dealership repair orders, labour operations, parts, and warranty claim procedures.
Excellent attention to detail and organizational skills.
Strong computer skills and ability to learn dealership software and manufacturer systems.
Ability to work independently while collaborating effectively with Service and Parts departments.
Strong written and verbal communication skills.
Ability to manage multiple priorities and meet deadlines.
High level of accuracy, accountability, and professionalism.
