Job summary

Carl Zeiss Canada Ltd. is seeking a Warehouse Specialist for our Mississauga location to oversee daily warehouse operations, inventory control, and shipping/receiving. This onsite role partners with service, procurement, finance, and sales teams to optimize performance and compliance.

Location: This position is located in our Mississauga office. It is a fully onsite role, 5 days a week.

What’s the role?

The Warehouse Specialist is responsible for overseeing the day-to-day warehouse operations for our Mississauga location, ensuring efficient inventory management, shipping and receiving processes, material handling, and distribution of products, parts, and equipment. This role serves as the subject matter expert for warehouse operations, inventory accuracy, and logistics processes, supporting customer service, field service, sales, and operational teams across Canada. The incumbent drives process improvements, maintains compliance with company and regulatory requirements, and contributes to operational excellence through KPI management, inventory optimization, and continuous improvement initiatives.

• Oversee daily warehouse operations including receiving, inspection, storage, picking, packing, shipping, returns processing, and inventory control activities.
• Perform basic warehouse maintenance duties and maintain records to ensure compliance with Health Canada GMP regulations.
• Monitor facility conditions and report any issues.
• Maintain inventory accuracy targets through cycle counts, physical inventories, reconciliation activities, and corrective action plans.
• Investigate inventory variances and implement preventive measures to reduce recurring discrepancies.
• Monitor slow-moving, obsolete, damaged, and excess inventory and recommend disposition strategies.
• Maintain accurate inventory transactions within SAP and ensure all warehouse movements are processed in accordance with company procedures.
• Identify and implement process improvements to enhance inventory accuracy, warehouse efficiency, space utilization, workflow effectiveness, and overall customer service performance.
• Ensure compliance with Health Canada requirements, quality management standards, company policies, and applicable warehouse handling procedures for medical devices and regulated products.
• Coordinate and oversee daily warehouse activities including receiving, storage, picking, packing, shipping, and inventory control.
• Act as the primary point of contact for warehouse-related issues and operational escalations.
• Support workload planning and prioritization to meet service level agreements and customer requirements.
• Ensure timely and accurate processing of receipts, transfers, returns, adjustments, and shipments.
• Support internal and external audits through accurate inventory records and warehouse documentation.
• Collaborate with Service Operations, Procurement, Finance, Customer Care, and Sales teams to support business objectives and customer requirements.
• Coordinate inventory availability and logistics support for field service engineers and customer projects.
• Participate in Lean, Kaizen, and continuous improvement initiatives to enhance operational performance.
• Provide guidance, training, and support to warehouse personnel on processes, systems, and best practices.
• Assist management with onboarding and training of new employees.
• Monitor inventory levels and anticipate supply needs based on usage patterns, upcoming projects, and forecasts.
• Coordinate with suppliers and vendors to place orders, track deliveries, and ensure timely replenishment of stock.
• Inspect incoming shipments for accuracy and quality, resolving discrepancies or issues as needed.
• Collaborate with cross-functional teams, including procurement, logistics, and operations, to optimize inventory management processes and resolve supply chain issues.
• Generate reports and analyze inventory data to identify trends, forecast future needs, and make recommendations for improvement.
• Ensure facilities comply with local regulations, building codes and company policies
• Support safety inspections, audits, and corrective actions.
• Other duties as assigned.

Do you qualify?

• Minimum 5-7 years of progressive warehouse, inventory control, logistics, or supply chain experience.
• Minimum 2 years of experience operating in a highly regulated environment such as medical devices, pharmaceuticals, healthcare, or manufacturing preferred.
• Proven experience in inventory management or related role, preferably in a healthcare or medical technology environment.
• Proficiency in inventory management software and Microsoft Office suite (Excel, Word, Outlook).
• Experience working with ERP systems such as SAP, Oracle, or similar inventory management platforms.
• Strong analytical skills with the ability to interpret data, identify trends, and make data-driven decisions.
• Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
• Effective communication skills with the ability to collaborate cross-functionally and build relationships with internal and external stakeholders.
• Detail-oriented mindset with a commitment to accuracy and quality in all aspects of work.
• Experience supporting process improvement initiatives and KPI-driven operations.
• Demonstrated experience safely operating warehouse material handling equipment, including forklifts and pallet jacks.
• Forklift certification is considered a strong asset.

The annual pay range for this position is $60,000 - $75,000 and is eligible for a performance bonus.

The pay offered for this role may be influenced by factors such as job location, scope of role, qualifications, education, experience, & complexity/specialization/scarcity of talent.
