Job description

Andrew Peller Limited is looking for an organized and detail-oriented Vineyard Operations Administrator to support our vineyard operations in the South Okanagan and to provide administrative support to our vineyard team and seasonal workforce. The successful candidate will be a conversational Spanish speaker.

Based primarily from our Tinhorn Creek Winery office in Oliver, this role provides administrative support to our vineyard team and seasonal workforce. From entering payroll hours and maintaining employee records to assisting with Temporary Foreign Worker (TFW) program administration, accounts payable and office organization, you’ll help keep day‑to‑day operations running smoothly.

This is a varied, hands‑on role that combines administration with employee support. You’ll regularly interact with seasonal vineyard employees across multiple vineyard sites, assist with worker arrivals, appointments, and housing‑related administration, and help ensure records and documentation are accurate and up to date. Conversational Spanish is required, as you’ll communicate regularly with many of our seasonal employees. Previous experience with the Temporary Foreign Worker Program is considered an asset, but we are happy to train the right candidate.

This position is based in Oliver, BC, with the opportunity for a hybrid work arrangement. Due to the seasonal nature of vineyard operations, some flexibility in working hours is required during peak periods. This may include occasional evening or weekend work to support payroll deadlines or seasonal workforce activities.

  • Act as the primary bilingual liaison between seasonal workers and vineyard leadership, providing day‑to‑day support and assisting with communication.
  • Assist workers with appointments, banking, medical visits, government services, and document translation as required.
  • Work closely with the maintenance team to coordinate seasonal worker housing throughout the season.
  • Maintain accurate employee records and compliance documentation while ensuring confidentiality.
Operations Administration
  • Serve as the administrative hub for multiple vineyard locations, supporting Vineyard Managers and the Grower Relations team.
  • Complete accurate and timely data entry across payroll, HRIS, and operational management systems.
  • Coordinate employee timekeeping and payroll administration, ensuring hours are entered accurately and within required deadlines.
  • Support new hire onboarding by preparing documentation and coordinating employee system setup.
  • Assist with accounts payable processes, including supplier invoices, expense tracking, mileage, and company credit card reconciliations.
  • Coordinate incoming and outgoing mail, deliveries, and administrative documentation related to the seasonal workforce.
  • Maintain organized filing systems and operational records, ensuring information is accurate, current, and easily accessible.
  • Keep the vineyard office organized, stocked, and operating efficiently while supporting a variety of day‑to‑day administrative needs.
  • Regularly travel to vineyard locations to provide administrative support, answer questions, and build relationships with vineyard employees.
  • Provide additional administrative and operational support to the vineyard leadership team as business needs evolve.
What Experiences, Skills And Knowledge This Teammate Will Bring
  • Bilingual in English and Spanish, with strong verbal and written communication skills in both languages.
  • Experience in administration, office coordination, operations coordination or a similar role.
  • Exceptional organizational skills with the ability to manage multiple priorities, deadlines, and competing demands.
  • High attention to detail and a commitment to accuracy, particularly when working with payroll, employee records and compliance documentation.
  • Strong interpersonal skills with the ability to build trust and communicate effectively with a diverse workforce.
  • A customer‑service mindset with a genuine desire to support people and solve problems.
  • Comfortable working independently while collaborating with multiple leaders and departments.
