VCA Canada is seeking a Veterinary Receptionist to join our Calgary-based client care team. This full-time role focuses on delivering a warm welcome to pets and their families, managing emails, scheduling visits, and guiding clients through billing with empathy.

The position emphasizes strong front-desk service, teamwork with veterinary staff, and a commitment to maintaining a clean, organized reception area. Previous hospitality experience is a plus.

Qualifications

• Front desk experience and strong communication skills are essential.
• Experience in hospitality is an asset but not required.
• Ability to manage multiple tasks and customer inquiries with empathy.

Responsibilities

• Create a warm and welcoming environment for patients and their families.
• Respond to and manage email correspondence with clients, referring veterinarians and internal messages.
• Proactively book visits, schedule follow-ups and make outbound calls to keep patient care on track.
• Guide owners through invoicing and payments with clarity and compassion, confirming estimates and processing payments.
• Maintain cleanliness and organization of the reception area, holding areas and common spaces.
• Support veterinary staff with various tasks and update on medical office procedures.

Job Responsibilities

• Create a warm and welcoming environment for our patients and pet parents
• Respond to and manage email correspondence; clients, referring veterinarians & internal office messages
• Proactively booking visits, scheduling follow-ups, and making outbound calls to keep our patient care on track
• Guiding pet owners through the invoicing and billing process with clarity and compassion, confirming estimates, and processing payments
• General housekeeping duties; cleanliness of reception area, pet holding areas and common areas
• Willingness to learn more regarding veterinary services, updated medical office procedures and assisting the Veterinary staff with various tasks and treatments
• Previous customer service or front desk experience in hospitality is an asset
