Job description

We are hiring on behalf of our non-profit client for the role of Travel Services Agent. This position supports the Travel Services Lead in managing travel operations, particularly during large-scale responses. The role requires strong organizational skills, adaptability, and the ability to work effectively in a fast-paced environment.

In order to proceed with this opportunity, there will be 2 tests needed for completion, if shortlisted :

Excel (approx 30 min)

Outlook (approx 30 min)

Details :

  • Contract Term : 2 weeks to start with potential extension.
  • Location : Remote work; candidates can be based anywhere in Canada.
  • Hours : 35-hour work week spread over 5 days across 7 days. Open availability required.
  • Shift options (Must be able to work both) : 8 : 00 AM to 4 : 00 PM AND 4 : 00 PM to 12 : 00 AM.

Responsibilities :

  • Assist in managing day-to-day travel operations and logistics.
  • Lead travel operations in the absence of the Travel Services Lead.
  • Maintain and update travel records and documentation.
  • Coordinate with internal teams and external partners to ensure effective communication.
  • Support compliance with travel policies and contribute to policy development.
  • Utilize and manage travel-related technologies and systems.
  • Handle email and phone reservations, including gathering data, booking accommodations, and following up on availability.
  • Collaborate with hotels to ensure adequate booking arrangements, including extensions or securing new availability as needed.
  • Offer ideas for improving departmental procedures.

Qualifications :

  • Proficiency in English. French is a strong asset.
  • High school diploma or equivalent; a certification in travel or administration is an asset.
  • Experience in travel coordination, preferably in a service-oriented or humanitarian / non-profit organization.
  • Strong organizational, time-management, and communication skills.
  • Ability to work collaboratively and adapt to changing needs.
  • Knowledge in Sharepoint and Adobe is an asset.
  • Intermediate to Advanced skills in Outlook, Excel and Word.
  • Must have an additional monitor & PC / Laptop with Windows 7, 8, or 10 setup
  • Comfortable with technology and eager to learn new systems.

Working Conditions :

  • Full-time remote position with flexibility for non-standard hours during emergencies.
  • Requires a professional remote work setup with high-speed Internet access.
