Job summary

CMHA Windsor-Essex County is seeking an administrative support role to assist the Community Engagement and Mental Health Promotion departments. You will manage calendars, coordinate events, assist with marketing materials, and help with reporting and communications.

The role may require occasional evenings and weekends; salary range provided shows Grade 4, hourly pay between $23.51 and $28.59, with a 35-hour work week and a temporary term through September 2027.

Qualifications

  • Minimum one year post-secondary diploma in a related field.
  • One year of recent and relevant experience in a fast-paced environment; nonprofit experience is an asset.
  • Advanced computer skills in Windows OS, Outlook, Word, Excel, PowerPoint, and other database systems.
  • Excellent organizational skills with ability to schedule tasks under time constraints.
  • Bilingualism in official languages is considered an asset.
  • A valid driver’s license and means of transportation are required.

Responsibilities

  • Provide a complete range of administrative support services including calendar management and travel arrangements.
  • Coordinate mail merges, files, correspondence and materials related to department activities.
  • Send meeting invitations, set up and attend meetings, take minutes, coordinate materials and catering.
  • Event coordination for agency initiatives including logistics and materials.
  • Compile reports as outlined in the Skills Development Canada/CMHA Ontario Project Agreement.
  • Respond to calls and organize mental health education materials; participate in health fairs.
  • Other duties as assigned within the scope of the position.

TEMPORARY UNTIL SEPTEMBER 2027


Supporting Working Ontarians During Uncertain Economic Times is a special one-year initiative. This Employment Ontario project is funded by the Government of Ontario. It aims to strengthen workforce resilience by delivering workplace mental health education, clinical supports, leadership development, and employer engagement across Ontario. The project is led by CMHA Ontario in partnership with the Ontario Chamber of Commerce, CMHA Windsor-Essex County, and CMHA York Region South Simcoe.


This role provides a range of administrative services to the Community Engagement and Mental Health Promotion departments including: record keeping, scheduling, administrative support, event coordination, marketing assistance and other duties as assigned.


Due to the nature of the role, the incumbent will be required to work occasional evenings and weekends.


RESPONSIBILITIES & DUTIES:


  • Provide a complete range of administrative support services, including but not limited to calendar management, meeting coordination, travel arrangements and filing.

  • Coordinate mail merges, mailings, files, correspondence, documents and materials related to activities in the department.

  • Send out meeting invitations, set up and attend meetings, take minutes, coordinate meeting materials and/or food and beverage.

  • Event coordination and participation including logistic duties as assigned for agency initiatives. This will include pick up and drop off of workshop/event materials and organization of the same.

  • Compiling reports as outlined in the Skills Development Canada/CMHA Ontario Project Agreement.

  • Community Engagement/Mental Health Promotion:

    • Receive and respond to phone calls, voice mail and emails for the Mental Health Promotion team.

    • Organize mental health education materials, including inventory, printing, and distribution as required.

    • Participation in and attendance at health fairs.



  • Other duties as assigned and which are within the scope of the position and which further the objectives and goals of the organization.


EDUCATION & SKILLS:


  • Minimum one (1) year Post-Secondary Diploma in a related field as deemed by the employer.

  • One (1) year of recent and relevant related experience in a fast-paced environment in a sector deemed relevant by the employer. Experience in a non-profit environment is an asset.

  • Advanced computer skills in Windows operating systems, Outlook, Word, Excel, PowerPoint, and other database management systems. Full range of knowledge in the operation of all standard office equipment including the use of photocopier, laptop computer and scanner.

  • Excellent organizational skills are required. Able to organize, schedule people or tasks, while being sensitive to time constraints and resource availability. Graphic design experience is considered an asset.

  • Bilingualism in both official languages at the advanced level is considered an asset.

  • A valid driver’s license and a means of transportation are required for this position.


Hours of Work: Thirty-Five (35) hour work week. The agency’s regular hours of operation are Monday to Friday, 8:30 AM to 4:30 PM. Flexible hours are required to meet client and service needs.


Salary range: Grade 4, $23.51 – $28.59 per hour


Per 2022 - 2026 Collective Agreement


Applicable shift premiums are paid in accordance with the Collective Agreement, Article 17.11.
