Job summary

Westcan Bulk Transport is seeking a Terminal Support Coordinator to serve as the on-site lead at our terminals and coordinate activities that support employees and promote safety. The role includes driver administration, payroll support, and basic dispatch and billing tasks.

This fast-paced, service-first position requires strong data-entry skills, solid communication abilities, and proficiency with MS Office.

Qualifications

• 1–2 years of experience in an administrative role that includes data entry responsibilities.
• Excellent communication and interpersonal skills, with the ability to work independently and maintain confidentiality.
• Proficient computer skills, including Microsoft Word, Excel, and Outlook.

Responsibilities

• Reception: Manage the reception area and front-line communications; maintain office supplies; administer fuel cards; maintain driver paperwork and files; coordinate travel bookings and expense submissions.
• Safety and Training: Set up and assign online driver training; enter qualifications, competency assessments, and job observations in the TMW dispatch system.
• Recruitment: Support the recruitment process by scheduling candidate interviews and assessments and preparing and administering hiring packages.
• Customer Service: Create customer orders; compile trips; enter trip details; monitor the TotalMail inbox while learning and supporting the TMW dispatch system.
• Billing: Complete billing and invoicing tasks and respond to customer requests; assist drivers with scanning tickets to meet specific customer billing requirements.
• Fleet Services: Organize and file paperwork and maintain unit files for assigned equipment.

The Terminal Support Coordinator serves as the on-site lead at each terminal, coordinating departmental activities that support employees and promote safety. Key responsibilities include driver administration and training coordination, payroll support, and basic dispatch and billing tasks. This is a fast-paced, dynamic role where no two days are the same. We welcome candidates who are upbeat and have service-first focus.
