Position Title: Tenant Relations Coordinator

Employee Union Group: Non-Union

Department/Service/ Program: Eden Residential Care Services – CV4

Reports To: Housing and Supports Manager – Eden Health Care Services

Hours of Work: 0.6 FTE; 1209 annual hours

Position Summary

The Tenant Relations Coordinator (TRC) develops and manages documents and records related to tenancy in accordance with the guidelines established by the Manitoba Housing and Renewal Corporation and the Residential Tenancies Act. This position reports to the Housing and Supports Manager and works closely with the Quality and Operations Manager. The TRC works within a team of housing professionals which includes maintenance, contract cleaners and housing support workers.

Qualifications

  • Post-secondary education in administration or other related disciplines an asset.
  • High School diploma required.
  • Experience in administration is required.
  • Experience in customer service and/or property management an asset.

Knowledge, Skills And Ability

  • Experience and proficiency with Microsoft Office programs (Excel, Word, and Outlook)
  • Experience performing various administrative, clerical and reception type duties such

as, but not limited to: receiving and distributing information, managing files, and

coordinating meetings.

  • Strong written communication skills with experience drafting, proofreading, and

formatting correspondence with a high degree of accuracy and attention to detail.

  • Compassion and interest in working with individuals with mental health needs,

specifically in social housing.

  • Strong sense of confidentiality, tact and diplomacy.
  • Ability to work technology (heavy usage of computer & cell phone).
  • Excellent time management, organizational and decision-making skills.
  • Ability to prioritize workloads and effectively manage tight deadlines.
  • Excellent interpersonal and customer service skills.
  • Excellent conflict resolution skills.
  • Ability to work independently and solve problems.
  • Ability to work with highly sensitive material in a confidential and professional manner
  • Experience in property management an asset

Principal Duties And Responsibilities

  • Collect rent and work with finance to ensure tenants on CAFT have paid rent.
  • Complete condition reports both upon move in/move out as well as annually.
  • Sign/update all lease agreements annually.
  • Assist with Rental Support applications annually.
  • Reasonably enforce the tenancy rules and regulations, while maintaining the ability to

be impartial and professional when dealing with tenants.

  • Terminate lease agreements whether voluntary or by eviction.
  • Write and send notices to tenants.
  • Complete administrative tasks, such as maintaining accurate records of all leased

properties, occupancy records and creating/updating tenant files.

  • Monitor and update the housing databases on a continual basis.
  • Create and communicate work orders to maintenance staff.
  • Provide guidance and support to the tenants in dealing with disputes.
  • Participate in Tenant Selection Committee meetings.
  • Answer all incoming inquiries and service requests from tenants with professionalism

and courtesy.

  • Maintain positive tenant relations by touring space and connecting with tenants

regularly.

  • Develop and maintain an effective line of communication with staff and tenants.
  • Establish and maintain good communication with the Housing team and provide

administrative support as needed.

  • Help coordinate welcome kit for new tenants (tenant handbook, contact numbers, key

agreement).

  • Coordinate set up of parking and keys for all buildings.
  • Market vacant suites when necessary.
  • Perform other duties, as required.

Physical Demands And Working Conditions

  • Must be physically capable of carrying out the duties and responsibilities as assigned.
  • May be required to respond to tenant emergencies after hours.
