Job description

Overview

The main responsibilities include performing certain banking and data validations as part of the company's fraud prevention measures, and reviewing source documents for accuracy and completeness. This position involves sorting these source documents (shared services) by name or account number and processing them in the company's internal accounting system. Responsibilities also include account reconciliation, monitoring automated and nightly bank files, processing uncashed check transfers, conducting SAP user acceptance tests, and other related tasks such as shared service account reconciliations (vendors, customers, personnel expenses). The shared services technician may also perform basic administrative tasks associated with our shared services functions, including managing payment and receipt documents in our internal procurement management system, entering transactions in journals, project-based deliverables, maintaining physical and electronic records, ledger reconciliation, exception management, and other record-keeping tasks related to the environment and overall shared services delivery.

This position requires physical presence at our Montreal office at least 3 full days per week.

Responsibilities

Responsibilities:

  • Assist in fraud prevention measures related to supplier banking validations.
  • Match source documents with internal purchase and sales workflows, particularly regarding certain customer and supplier receipt documents; update sources and review changes to master data.
  • Perform manual payments, ACH transactions, bank transfers, and credit card transactions; prepare manual banking requests online via the bank's web portal.
  • Audit internal disbursement, receipt, or expense reports via company online platforms, reconcile GL accounts, monitor FEBAN, and manage the monthly process for uncashed check transfers; review and resolve unbilled receipts (MR11 report).
  • Assist external stakeholders such as suppliers with ad hoc requests, statement audits, or pending document confirmations, including stakeholder balance reconciliations.
  • Conduct SAP user acceptance tests for processes impacting the company's shared services function.
  • Other assigned tasks.

Working conditions:

100% of the time is spent in an office environment, using computers (frequent use of MS Office suite), telephones, and general office equipment.

Qualifications

Experience and education:

  • High school diploma or GED; bachelor's degree in finance or accounting preferred.
  • Five years of experience in computerized accounting or shared services processing, preferably in a mid-sized or larger company and in the utility industry.

Skills and attributes:

  • Familiarity with a corporate purchasing system, including purchase requests and purchase orders.
  • Excellent written and verbal communication skills, especially regarding supplier management and customer service.
  • Bilingual in French/English.
  • Excellent organizational, analytical, and developmental skills.
  • Familiarity with various software programs, including Word, Outlook, and Excel.
  • Highly motivated, autonomous, friendly personality, and a team player.
