The Opportunity

The Technical Coordinator, Media & Production provides administrative and technical support required for the delivery of Banff Centre programs, projects and events. This role is responsible for coordinating the elements required for successful delivery of Media & Production deliverables in an organized, proactive manner and ensures the operational, logistical and administrative and technical requirements meet the expectations of both internal and external stakeholders.

The incumbent responds to enquiries from staff, external clients, program participants and guests by providing a high level of customer service delivery and is a critical support person for day-to-day operations.

Responsibilities:

Reporting to the Technical Producer/Director, below are some key accountabilities:

Scheduling and Administration
  1. Coordinate production service and equipment requests (as per client GRF, BEO’s and technical assessments & other requests, prepare price quotations as required and work orders in accordance with established procedures)
  2. Assist with administration of projects in Farmers Wife (FW), book resources, ensure program reconciliation, enter information into bookings, prepare reports from FW; track variable labour costs per program/project
  3. Enter equipment into the equipment rental database in FW; maintain the equipment database and location naming conventions
  4. Monitor general email accounts across media and production
  5. Maintain department equipment manuals, safety binders, phone and email lists, price lists, and department Standard Operating Practices
  6. Prepare activity reports and status reports as requested
  7. Enter in Physical Facilities Asset Planner work orders for facility repairs
  8. Assist with resource planning including annual planning of departmental media facilities and equipment resources
  9. Assist in all areas of Media and Production administration, coordination and scheduling.
  10. Maintain accurate filing, and records management systems in a timely manner
  11. Assist with compiling documentation and materials required for proposals and/or reports
  12. Evaluate and make ongoing recommendations on scheduling and workflow improvements
  13. Assist with capital planning, equipment replacement, upgrade analysis and recommendations
Technical and Production
  1. Consolidate, organize, standardize, and maintain equipment database & dispatch module
  2. Consolidate, organize, standardize, and maintain Stock Footage Library & Archives databases
  3. Responsible for LTO back up of media assets, adhering to backup procedure and naming conventions
  4. Assist with offload of media
  5. Maintain the production archive as an accessible resource including media assets, contracts and project information
  6. Research and provide information and pricing for equipment/software purchases and rentals
  7. Coordinate the yearly inventory of all MAP equipment
  8. Assist with studio maintenance as required
  9. Provide back-up technical support to MAP technicians as required
  10. Handle all phases of duplicating services, track requests for duplications
Financial Administration
  1. Coordinate accounts payables and ensure the timely payment of invoices, creation of purchase orders, claims, invoices, payment requests, cheque requisitions, petty cash vouchers, client A/R adjustment forms, and monthly IDT’s
  2. Pick up cheques, special mail items, and reports as well as drop off of financial paperwork to Financial Services; prepare Banff Centre cash submissions as required
  3. Source vendor quotes for equipment purchases
  4. Monitor equipment spending and track expenditures through approved tracking systems
  5. Responsible for processing, tracking and reconciliation of annual service, software agreements
  6. Responsible for processing, tracking and reconciliation of equipment purchases
Other
  1. Effectively communicate and problem-solve issues and concerns where appropriate
  2. On occasion, coordinate activity of casual labour staff
  3. Assigned other related duties as may be required
Qualifications:

Qualifications and Educational Requirements

  1. Completion of a college diploma or equivalent experience in media production, technical coordination with a minimum of 5 years’ experience
  2. Proven coordination experience; strong organizational skills, attention to detail
  3. Experience with technical hardware, software and setups in a Media Production environment
  4. Database/scheduling software experience required
  5. Strong written and verbal communication skills
  6. Ability to work independently and to problem-solve creatively
  7. Experience working in a fast-paced environment
  8. Customer-centric approach, which results in exceptional customer service delivery
  9. Reliable with the ability to work under broad direction without close supervision
  10. Proven organizational expertise and ability to successfully manage multiple tasks and projects
  11. Strong team player
  12. Proficient with Microsoft Office Suite of products with advanced Excel skills
  13. Overall knowledge of technical hardware, software and setups in Media Production and AV environments
Special Requirements

Due to the nature of the job, this position requires the candidate to be available to work a flexible, irregular schedule and weekends.

Employment Terms and Benefits

In accordance with CUPE 4318, this is a unionized, hourly support staff position, subject to a 500 hour probationary period. This position pays $23.29 - $24.45 per hour working up to 40 hours per week on a rotating schedule.
