Position: Team Administrative Assistant.

Location: Barrie, ON.

Closing Date: June 1, 2025.

POSITION SUMMARY:

The Team Administrative Assistant is responsible for providing administrative and technical support services to the service team or teams to which they are assigned. The role also involves supporting the effective functioning of administrative systems to ensure the smooth implementation of Dnaagdawenmag Binnoojiiyag services for staff, clients, visitors, and the public. Additionally, the assistant will handle clerical and reception duties as required.

RESPONSIBILITIES:
Administrative and Technical Support Duties:
  1. Assist with establishing and maintaining computerized and manual filing systems.
  2. Help collate and maintain computerized monthly attendance records and other documents.
  3. Assist with the preparation of monthly and quarterly statistical reports, financial reports, budget submissions, and year-end reports.
  4. Maintain inventory lists and oversee equipment, furnishings, and supplies.
  5. Perform reception duties: greet visitors, assist with troubleshooting, refer to appropriate personnel, handle forms and paperwork, follow-up on issues, escalate non-routine requests, and keep the reception area organized.
  6. Prepare for meetings, conferences, and events.
  7. Run errands, order supplies, and maintain office equipment.
  8. Prepare, edit, and proofread correspondence, invoices, presentations, brochures, policies, and reports.
  9. Manage voicemail, receive visitors, answer calls, log mail, and handle petty cash when acting as a receptionist.
  10. Provide filing, faxing, and photocopying support.
  11. Liaise with service providers.
  12. Prepare agendas, meeting materials, and minutes.
  13. Coordinate meetings, travel, and special events.
Other Duties:
  1. Implement other duties as assigned by the Supervisor.
  2. Provide in-house IT support as needed.
  3. Develop a centralized, digitized record-keeping system.
  4. Digitize historical documents.
  5. Assist with database software selection and maintenance.
  6. Undertake special projects and additional duties as required.
POSITION REQUIREMENTS:
Education & Experience:
  • College diploma in business administration or related field, OR
  • Minimum Grade 12 education with at least five years of relevant administrative support experience.
  • Experience in Child Welfare or Indigenous Child-Wellbeing settings is an asset.
