Location
This is a remote position. You can work from home and be located anywhere in Canada. If in Ottawa, you should be able to work hybrid in our office in Kanata.

About The Team
The Talent Operations Associate plays a vital role in driving the efficiency and effectiveness of the recruitment function. As part of the Talent Operations team, this individual supports the full hiring lifecycle by enhancing recruitment processes, ensuring data integrity, and upholding compliance standards.

The role focuses on delivering outstanding operational support to hiring teams, enabling a seamless candidate and hiring experience. This includes managing recruitment tools and systems, analyzing process performance, maintaining accurate talent acquisition data, providing training, and championing continuous improvement initiatives to optimize hiring outcomes.

What you will do

  • Analyze and streamline recruitment workflows to improve efficiency, enhance user experience, and support consistent execution across the hiring lifecycle.
  • Monitor and maintain the accuracy and integrity of talent acquisition data and deliver monthly and quarterly reports to support performance tracking and decision-making.
  • Oversee recruitment systems and tools, including troubleshooting technical issues and working with HR Systems, IT, and vendors to ensure smooth functionality.
  • Ensure compliance with organizational policies and legal standards by maintaining up-to-date recruitment documentation and audit-ready records.
  • Train and support hiring teams on recruitment systems, processes, and best practices, while attending product releases and sharing key updates to improve team capabilities.
  • Track recruitment metrics, conduct regular audits for data accuracy, and recommend process and system enhancements for continuous improvement.

What we are looking for

  • Bachelor’s degree in Human Resources, Business Administration, or a related field (or equivalent experience).
  • 1–3 years of experience in talent operations, recruiting coordination, HR, or a related field.
  • Strong understanding of Applicant Tracking Systems (ATS), HRIS platforms, and recruitment technologies.
  • Hands-on experience with iCIMS (preferred) and familiarity with recruitment marketing platforms and tools.
  • Experience with reporting and analytics tools such as Power BI, Excel, and Google Sheets.
  • Solid understanding of recruitment compliance requirements and documentation best practices.
  • Excellent organizational skills, attention to detail, and ability to manage multiple tasks and priorities.
  • Strong analytical and problem-solving skills with the ability to interpret data and identify trends.
  • Effective communicator with strong collaboration and training skills; customer-focused mindset.
  • Experience in a high-growth, fast-paced, or global environment is a plus.
  • Familiarity with process improvement methodologies such as Lean or Agile is an asset.
