Job summary

Okanagan College is seeking a part-time, regular position to coordinate the Volunteer ESL-SAP Tutor Program. You will assist the instructor with recruitment, screening and matching of tutors, promote the program, and help organize monthly events.

The role requires strong communication, office skills and ability to work with volunteers and the public. Some evening/weekend hours may be necessary, with a start of Sept 8 2026 and end date Mar 30 2029.

Qualifications

  • Two-year college program or equivalent in a related area.
  • 1–2 years of relevant volunteer coordination or program support experience.
  • Experience with volunteers, immigrants, and public interaction preferred.

Responsibilities

  • Coordinate recruitment, screening and matching of ESL tutors under supervision.
  • Promote the program and organize field trips or guest speaker events.
  • Maintain records, budgeting information and reports for the program.

Salary Range: $52,343 - $59,732 annually
Bargaining Unit: Support
Appointment Type: Regular, Part-Time, Sessional
Schedule: 14 hours/week - Schedule to be determined.

Your Opportunity
  • Under the limited supervision of the Program Administrator, coordinates the VolunteerESL-SAPTutor Program by assisting the instructor with: recruitment, screening and matching of English as a Second Language tutors; and on-going workshops for tutors; administering initial intake procedure; monitoring matches; program promotion; organizing field trips and guest speakers; as well as maintaining necessary records, reporting and tracking budget information.
Functions and Duties
  • Recruits and screens potentialESL-SAPtutors by:
  • advertising in appropriate newspapers;
  • speaking at public information meetings and service clubs;
  • responding to telephone inquiries;
  • interviewing potential tutors and making recommendations to the Instructor.
  • Supports the Instructor to establish logistical details related to initial training sessions and on-going workshops by:
  • making room reservations;
  • advising the participants of the date, time and place of the program;
  • ensuring the appropriate equipment is available.
  • Responds to initial telephone inquiries from potential learners and tutors.
  • Assists the Instructor with intake procedures, including completion of settlement plans in reporting database and providing local service information. This position is specifically excluded from making any interpretation relating to the inventory.
  • Assists the Instructor with matching learners and tutors.
  • Monitors learner/tutor pairs and refers learning problems to the Instructor.
  • Maintains a collection of learning resources for the tutors and learners.
  • Sets-up and maintains records relating to the program including budget information and expenditures and manages expense claims.
  • Keeps a record and reports training time, tutoring time, and co-ordination time.
  • Promotes the program in the community.
  • Arranges and facilitates at least monthly field trips, guest speakers or other events for learners
  • Performs other duties as assigned.
Education and Experience
  • Graduation from a two-year community college program or equivalent in a related area. Minimum of 1 year and up to, but not exceeding, 2 years of relevant experience in the field.
  • Preferred:Experience working with volunteers and immigrants as well as interacting with the general public and governmental agencies. Must be available for some evening and weekend hours.

  • Strong written and verbal communication skills
  • Ability to communicate in plain English
  • Awareness of adult literacy issues and refugee and immigrant experiences
  • Ability to develop and maintain a close liaison with the community
  • Excellent interpersonal skills and judgment.
  • Ability to deal tactfully and diplomatically with internal and external contacts
  • Able to work effectively both independently and as part of a team with an aptitude for working in a collegial and collaborative environment
  • Demonstrated time management skills with the ability to stay organized and prioritize tasks
  • Competence and proficiency in the use of computer systems and software including Microsoft Office (Word, Excel, PowerPoint, Access and Outlook) and internet
  • Experience with social media platforms
