Job summary

Communications & Power Industries seeks a motivated Supplier Returns Coordinator to join our Ontario-based Supply Chain team. You will coordinate Return Material Authorization (RMA) requests with suppliers, track them from initiation to closure, and maintain accurate documentation and ERP records.

Qualifications

  • A college diploma or post-secondary education in Supply Chain Management, Business Administration, Operations, Logistics, or a related field, or equivalent experience.
  • 1–3 years of experience in supply chain, purchasing, procurement, inventory control, materials coordination, or related environment.
  • Experience working with suppliers and professional communication regarding actions, documentation, and issue resolution.
  • Strong organizational and time-management skills with ability to manage multiple RMAs and follow-up.
  • Excellent attention to detail and ability to maintain accurate records.
  • Strong written and verbal communication and cross-functional collaboration.

YOUR DAY TO DAY:

We are looking for a motivated and detail-oriented Supplier Returns Coordinator to join our Supply Chain team. In this role, you will coordinate the return of non-conforming materials to suppliers and support vendor Return Material Authorization (RMA) activities from initiation through closure.

Working closely with suppliers and internal teams including Quality, Engineering, Receiving, and Supply Chain, you will help ensure supplier returns are processed accurately and efficiently. You will maintain return documentation, complete ERP transactions, track outstanding RMAs, and follow up with suppliers to resolve open items.

This role also provides exposure to purchasing and procurement activities, including purchase order maintenance, expediting, and supplier follow-up, with opportunities to take on additional procurement responsibilities as your knowledge and experience develop.

YOU WILL BE ACCOUNTABLE FOR:
  • Coordinating supplier Return Material Authorization (RMA) requests, including obtaining return approvals, RMA numbers, shipping instructions, and supplier confirmations.
  • Tracking open supplier returns from initiation through completion and following up on outstanding actions to support timely closure.
  • Preparing, organizing, and maintaining accurate documentation for supplier returns and non-conforming materials.
  • Completing and maintaining RMA and return-related transactions within the ERP system.
  • Working with Quality, Engineering, Receiving, Supply Chain, and other internal stakeholders to gather required information and facilitate the return of material to suppliers.
  • Communicating directly with suppliers regarding return requests, documentation requirements, shipment status, replacements, credits, and other outstanding return activities.
  • Supporting purchase order maintenance related to supplier returns, including PO corrections, return PO lines, and alignment between purchasing and return records.
  • Monitoring open purchase orders and supporting supplier follow-up and expediting activities as required.
  • Identifying discrepancies or incomplete information and working with the appropriate internal teams and suppliers to resolve issues.
  • Maintaining accurate RMA records, trackers, and supporting documentation and assisting with reporting and data‑cleanup activities.
  • Supporting reconciliation and closure of outstanding supplier return transactions, credits, and replacement material.
  • Assisting with low‑value or routine purchasing activities as knowledge of CPI's procurement processes develops.
  • Supporting continuous improvement initiatives related to supplier returns, documentation, and Supply Chain processes.
  • Performing other related Supply Chain and procurement duties as assigned.
YOU ARE THE RIGHT PERSON FOR THIS JOB IF YOU HAVE:
  • A college diploma or post‑secondary education in Supply Chain Management, Business Administration, Operations, Logistics, or a related field. An equivalent combination of education and relevant experience will also be considered.
  • 1–3 years of experience in supply chain, purchasing, procurement, inventory control, materials coordination, manufacturing administration, or a related environment.
  • Experience working with suppliers or vendors and the ability to communicate professionally regarding open actions, documentation, and issue resolution.
  • Strong organizational and time‑management skills with the ability to manage multiple open RMAs, priorities, and follow‑up activities simultaneously.
  • Excellent attention to detail and a demonstrated ability to maintain accurate transactional records and documentation.
  • Strong written and verbal communication skills and the ability to work effectively with cross‑functional teams.
  • Good problem‑solving skills with the ability to identify discrepancies, investigate outstanding items, and help drive issues through to resolution.
  • Working knowledge of Microsoft Office, particularly Excel, Outlook, and Word.
  • Experience working with an ERP or MRP system; JD Edwards (JDE) experience is an asset.
  • Basic knowledge of purchasing, inventory, material control, or supply chain processes.
  • Experience with RMAs, non‑conforming material, supplier returns, purchase orders, or manufacturing environments is considered an asset.
  • An interest in developing your knowledge of procurement and taking on increased purchasing or Buyer responsibilities over time.
  • A proactive attitude, strong initiative, and the ability to learn and adapt in a fast‑paced manufacturing environment.
