Job summary

Facilities are more than just physical spaces—they are dynamic environments that require efficient management and strategic planning. At Prospect Human Services, we believe in creating systems and procedures that reflect our commitment to excellence and innovation.

We’re looking for a Facilities Summer Student to support our Facilities team in streamlining operations, developing processes, and ensuring our spaces are safe, efficient, and user-friendly. You will gain valuable experience in facilities management, documentation, and data-driven decision-making while contributing to real-world projects.

In order to be eligible for this role, the government of AB requires the successful applicant to be under 30 years of age and a Canadian Citizen or Permanent Resident. You must reflect your eligibility for this role in your cover letter or on your resume.

What Will You Do?

Procedure Development And Documentation

  • Develop and update facility procedures, ensuring compliance with organizational policies and local regulations.
  • Create and maintain documentation for facilities operations, including electrical panel labeling, outlet mapping, and building layouts.
  • Standardize and implement new operational processes for facility maintenance and management.

Data Management And Dashboard Creation

  • Design and develop dashboards to track and monitor facility services and performance metrics using tools like Excel and Visio.
  • Analyze data trends to recommend improvements for facilities operations and efficiency.

Facility Organization And Optimization

  • Assist in the reorganization and labeling of electrical panels, ensuring accurate documentation.
  • Support projects related to facility improvements, including space planning and equipment inventory.
  • Collaborate with team members to ensure timely completion of facility upgrades and updates.

Technical Tools And Design

  • Use AutoCAD to create or update building layouts and floor plans.
  • Work with Microsoft Office Suite (Excel, Word, Visio) for documentation and reporting.

Collaboration And Team Support

  • Work closely with the Facilities Manager and other team members to achieve project goals.
  • Assist in coordinating with contractors and vendors for facility-related projects as required.

What Does It Take to Do This Job?

  • Education: Current post-secondary student in Engineering, Facilities Management, Architecture, or related field.
  • Technical Skills:
    • Proficiency in AutoCAD and Visio is required.
    • Advanced knowledge of Excel and Word for reporting and dashboard creation.
    • Strong organizational and documentation skills.
  • Soft Skills:
    • Ability to multi-task and prioritize in a fast-paced environment.
    • Strong communication and collaboration abilities.
    • Detail-oriented mindset with a proactive approach to problem-solving.
  • Experience: Previous experience or coursework in facilities management, engineering, or a related field is an asset.
Further Notes

  • Must be able to lift up to 30 lbs. occasionally for project-related tasks.
  • Employment is contingent on passing a background check.
  • Flexibility with work hours and occasional travel within Calgary may be required.
