You will oversee the MyPolytech portal and serve as the Salesforce CRM SME within the Registrar’s Office & Student Experience, collaborating with departments to optimize messaging strategies and portal content.

Qualifications

  • Bachelor’s degree in communications or a related field.
  • Four years of relevant communications or digital engagement experience.
  • Equivalent combination of education and experience may be considered.
  • Strong communication, organization, analytical, and problem-solving skills.
  • Experience with digital communication or CRM platforms.

Responsibilities

  • Lead and maintain the institution’s student communication plan and annual communication calendar.
  • Coordinate clear, accurate, and timely communications across the student lifecycle.
  • Draft, edit, and refine student-facing communications to ensure messages are clear, engaging, accessible, and aligned with institutional standards and brand voice.
  • Advise departments on target audiences, message timing, communication channels, tone, and frequency.
  • Review student communications to reduce duplication and ensure consistency across departments and systems.
  • Lead the management of the MyPolytech student portal and related student-facing platforms.
  • Coordinate targeted announcements and time-sensitive portal content.
  • Monitor portal usage and recommend improvements that support student access and engagement.
  • Serve as the Salesforce CRM subject matter expert within the Registrar’s Office & Student Experience.
  • Create targeted campaigns, automated workflows, student lists, and event communications.
  • Support staff in selecting and using the appropriate communication platform.
  • Troubleshoot issues involving audience segmentation, data accuracy, workflows, and campaign delivery.
  • Monitor open rates, click-through activity, portal use, chatbot interactions, and other engagement measures.
  • Create reports and use results to improve communication strategies, content, timing, and targeting.
  • Stay current with student communication, digital engagement, and CRM practices.
  • Work with teams across the institution to coordinate student-facing information.
  • Provide guidance and training on communication practices and platform use.
  • Participate in working groups and provide communication support to academic programs and departments as required.
  • Perform other related duties as assigned.

Overview Of The Role

The Student Communications Specialist is a key member of the Registrar’s Office & Student Experience. Reporting to the Manager, Scheduling & Student Systems, the position leads institutional student communications and digital engagement across the full student lifecycle.

The specialist manages the student communications framework, including audience segmentation, communication channels, message clarity, tone, timing, and frequency. Core platforms include Salesforce CRM, the MyPolytech student portal, Ellucian Self-Service, the Gecko chatbot, email, SMS, and related communication systems.

The position maintains the institutional student communications calendar and helps ensure communications across systems are coordinated, clear, accurate, and aligned with student needs. The specialist also leads oversight of the student portal experience and serves as the Salesforce CRM subject matter expert within the Registrar’s Office & Student Experience.

Working with departments across the institution, the specialist provides guidance on when, where, and how student messages should be delivered. The position uses engagement data and reporting to assess communication effectiveness and recommend improvements that support student engagement, recruitment, and retention.

Key Accountabilities
Student Communications
  • Lead and maintain the institution’s student communication plan and annual communication calendar.
  • Coordinate clear, accurate, and timely communications across the student lifecycle.

Student Portal & Digital Engagement
  • Lead the management of the MyPolytech student portal and related student-facing platforms.

CRM & Communication Platforms
  • Serve as the Salesforce CRM subject matter expert within the Registrar’s Office & Student Experience.

Salary AUPE Class Level 11 Step 2 at $64,798.93 per annum
