Job summary

TMX Group is seeking a Sr. Project Coordinator to support planning, delivery and governance of IT projects. Hybrid work in Montreal, QC, with 2–3 days in the office, and close collaboration with project managers to ensure on-time, on-budget outcomes.

You will maintain project artefacts, track risks and budgets, and develop dashboards to provide visibility across the portfolio. Fluency in French and English is required, with strong organizational and communication skills.

Qualifications

  • Experience supporting IT projects as a Project Coordinator, PCO, PMO Analyst, or similar.
  • Fluent in French and English; strong client and team communication.

The Sr. Project Coordinator (Sr PCO) is responsible for supporting the planning, delivery and execution of projects throughout the lifecycle, applying established TMX standards and best practices. The Sr PCO supports and assists the Project / Program Managers to ensure that assigned projects are delivered on time, on budget, with good quality while making certain clients are put first. The Sr PCO contributes to the evolution and streamlining of project governance processes, reporting, tooling, best-practices and standards. This role is hybrid (2 - 3 days/week in the office) - based in Montreal, QC.

Key Accountabilities:
  • Works with the Project / Program Manager to ensure that all required project artefacts are completed and exceptions are documented and approved
  • Maintain project RAID logs and ensure risks, issues, decisions, and action items are tracked, monitored, and escalated appropriately.
  • Financial support: Conduct monthly budget variance analysis, support PM reconcile actuals against financial forecasts, and provide recommendations for budgetary adjustments to the Project Manager.
  • Administration Control: support PM with Change Control process, ensuring all Project Change Requests (PCRs) are documented, evaluated for impact, and approved prior to implementation
  • Project doc Assurance and Audit Readiness: Perform periodic audits of project documentation and artifacts to ensure compliance with TMX PMO standards and external audit requirements.
  • Support with Capacity Planning: Analyze resource utilization trends to identify future capacity
  • Procurement tasks: Assist with vendor procurement-related administrative tasks, including documentation support, PO, invoice coordination, and any follow-up on vendor deliverables
  • Follows up with action item owners to obtain updates and ensure that progress is being made according to the target resolution date
  • Standardize project management processes, templates, governance practices, and reporting across the CDCC portfolio using Smartsheet and TMX PMO standards.
  • Develop, maintain, and continuously improve executive dashboards at both the project and portfolio levels, providing visibility into scope, schedule, budget, milestones, risks, issues, dependencies, project health, and resource utilization.
  • Coordinate cross-functional activities, dependencies, and deliverables across multiple GTS teams and third-party vendors.
  • Assist Project Managers in developing and maintaining integrated project plans, monitoring project schedules, budgets, and resource assignments.
  • Helps draft the integrated project plan and monitors plan, following up with resources as necessary to ensure that tasks are completed on schedule
  • Ensures project artefacts are stored in the project’s document repository along with all required approvals
  • Creates the Project Change Request documenting all required details and tracks the approvals
  • Updates project schedule, budget, and documentation to reflect approved changes
  • Collects and consolidates workstream status updates from leads
  • Use TMX PMO tools to monitor projects plans, work hours, budgets and expenditures and identify time, cost and scope anomalies and elevate for the PM to action and/or resolve
  • Effectively and accurately communicate relevant project information to the client and project team
  • Shares potential process/tool streamlining opportunities identified during the program with PMO Lead small projects to completion according to the PMO practices
Must Have(s):
  • University degree in related discipline or equivalent
  • Project Coordinator work experience within the financial services industry
  • Excellent communication in French and in English required (contacts and collaboration with clients and colleagues English only might be needed)
  • Minimum 5 years of experience supporting IT projects as a Project Coordinator, Project Control Officer (PCO), PMO Analyst, or similar role.
  • Experience supporting large project portfolios consisting of multiple concurrent initiatives.
  • Minimum 3-5 years experience within an Information Technology environment
  • Experience with GSuite, Smartsheets and Jira
  • Experience working within enterprise infrastructure, cloud, application development, or technology transformation programs.
  • Advanced experience using Smartsheet for project planning, portfolio management, dashboard development, reporting, workflow automation, and resource tracking.
  • Strong understanding of project governance, PMO methodologies, SDLC, Agile, Iterative, and Hybrid delivery models.
  • Ability to successfully support multiple projects of varying complexity
  • Ability to work independently on projects, with tight deadlines under minimal supervision
  • Experience working with projects involving internal and third party resources
  • Strong organizational skills
  • Demonstrated time management and problem solving skills
  • Strong interpersonal and negotiation skills
  • Excellent written and verbal communications
  • Strong understanding of project governance, PMO methodologies, SDLC, Agile, Iterative, and Hybrid delivery models.
Nice to Have:
  • Previous experience working as a Project Control officer or supporting complex technology programs and portfolios.
  • CAPM, PMP, or equivalent project management certification.
  • Prior experience using Workday or an equivalent PPM tool
  • Experience working in Agile, Iterative, or Hybrid delivery environments.
  • Experience with projects involving integration of third party applications with other third party or on-premise applications
  • Experience within the financial services, capital markets, or regulated industries.
