Job summary

The City of Brampton is seeking a TAX Specialist to join our team at City Hall. The role focuses on updating tax systems, processing payments, and providing guidance to clerks while ensuring accuracy and compliance. This is a temporary full-time position for a 4-month term with a 35-hour work week.

Ideal candidates will have 2–4 years of related experience in public administration or finance, and strong communication and organizational skills. A CPA designation or MTAP is an asset.

Qualifications

  • Requires high school graduation and 3–4 years in Business focusing on Finance/Accounting/Mathematics or Public Administration, or CPA designation.
  • 2–4 years of related public-facing experience, preferably in local government.
  • Valid Ontario G license.
  • MTAP completion is an asset.

Responsibilities

  • Examine and update information in tax systems; handle ownership changes, rebates, property tax programs, and mortgage accounts.
  • Schedule and process daily uploads; investigate debits/credits adjustments.
  • Administer the banking platform for tax processes and workflows.
  • Provide guidance to Tax Clerks; allocate and verify work.
  • Prepare summary reports and refund cheque requisitions; review refund/adjustment requests.

City of Brampton situated in City Hall is currently looking for applications for the role of SPECIALIST, TAX who is a self-motivated individual with excellent interpersonal skills. The selected candidate must start work promptly. This is a temporary full-time position for a 4-month term.

  • The candidate will examine and update information in applicable tax systems, including ownership changes, mailing addresses, various rebate applications, property tax programs, and mortgage account information.
  • The candidate must schedule and process daily uploads and investigate adjustments for debits and credits.
  • The candidate must administer the banking platform for tax.
  • The candidate will be responsible for providing guidance to Tax Clerks, allocating their work, and verifying their work.
  • The candidate will be responsible for conducting detailed account analysis and preparing summary reports and refund cheque requisitions as required.
  • The candidate must review and approve refund and adjustment requests.
  • The candidate must develop, implement, and maintain process controls on clerk-level workload.
  • The candidate must monitor and reconcile tax emails, call-backs, and staff responses received from Service Brampton.
  • The candidate will be responsible for providing information and explanations to customers, including taxpayers, Council, Mayor's Office, lawyers, realtors, mortgagors, and businesses, in response to escalated enquiries received through e-mails and telephone.
  • The candidate must create and update SOPs as required.
  • The candidate must review invoices and monitor budgets for the Tax Billing outsourcer and Canada Post.
  • The candidate must organize and maintain records to support future updates in the tax system.
  • The candidate will be responsible for processing tax payments and returning incorrect payments as required.
  • The candidate will be responsible for facilitating training and providing support for tax system upgrades, testing, and maintenance related to all tax modules.
  • The candidate must assist in process reviews and coordinate implementation and required staff training.
  • The candidate must assist with Payment-in-Lieu (PIL) and linear accounts related to reconciliation and billings/invoices.
  • The candidate must reconcile agent tax billing files and invoice files.
  • The candidate must prepare and mail tax notices/statements while following legislated protocols.
  • The candidate must identify efficiencies that help manage volume effectively.
  • The candidate must assist with uploads, the appeals process, tax adjustments, billings, and Council reports as required.
  • The candidate must balance levies and billings pertaining to tax account adjustments for accuracy and completeness.
  • The candidate must communicate and liaise with other municipalities, government, and professional organizations.
  • The candidate will be responsible for monitoring and updating portal and website content.
  • The candidate will be responsible for processing tax charges such as water bills and by-law infractions for collection.
  • The candidate must review and process payments in suspense.
  • The candidate must maintain the pre-authorized tax payment program option.
  • The candidate must perform a variety of duties related to records retention.
  • The candidate must manage incoming and outgoing mail, validate returned mail, and investigate the reasons for returned mail.
  • The candidate must perform other similar and related duties as assigned.
Job Requirements
  • The candidate will be required to have high school (Grade 12) graduation and an additional program of over three to four years in Business, focusing on Finance, Accounting, Economics, Mathematics, Business Commerce, Real Estate, or Public Administration, or complete the Chartered Professional Accountant (CPA) designation.
  • The candidate must have over two (2) years up to and including four (4) years of related experience involving direct public contact, preferably in a local government environment.
  • The candidate must have a valid Ontario G license.
  • The candidate should have completed the Municipal Tax Administration Program (MTAP), which is considered an asset.
  • The candidate must have excellent verbal and written communication skills.
  • The candidate must have excellent customer service skills.
  • The candidate must be able to work independently and as part of a team environment.
  • The candidate must have advanced knowledge of MS Office.
  • The candidate must demonstrate sound judgment, good decision-making, and analytical skills.
  • The candidate must have strong organizational skills.
  • The candidate should have knowledge of municipal functions, departments, and processes, which is an asset.

  • The candidate will be required to complete a criminal record search to verify that they have no criminal record for which a pardon has not been granted.
