About the role:
The Site Coordinator for the YMCA's Before and After SchoolProgram (YPHD), provides day-to-day leadership and oversight of programoperations. Reporting to the YPHD Program Manager, the Site Coordinator isresponsible for supervising all program and inclusion staff at their assignedlocation, fostering a positive team environment, and ensuring the delivery ofsafe, inclusive, and high-quality programming.
The Site Coordinator ensures that all operations are carriedout effectively and efficiently throughout the school year while maintainingcompliance with YMCA standards, policies, BAP requirements and best practices.This role supports staff development, promotes positive relationships withchildren and families, and helps create an engaging environment where everychild can thrive.
Key Responsibilities
- Provideday-to-day leadership and supervision of all Program staff, InclusionStaff, and support staff assigned to the site, fostering a positive,collaborative, and accountable team environment.
- Serveas the direct supervisor and first point of contact for staff, addressingoperational challenges, coaching staff, managing performance concerns, andescalating matters to the Program Manager when appropriate.
- Ensuresafe and effective daily program operations, including maintainingrequired staff-to-child ratios, arranging staff coverage for absences andschedule changes, and supporting staffing decisions (in collaboration withthe Program Manager when required).
- Reviewand approve staff timesheets, monitor scheduling accuracy, and ensurepayroll information is submitted accurately and within establishedtimelines.
- Staywithin budget guidelines set by the YPHD Program Manager for programexpenditures, managing program supplies, and submitting monthly supplyexpenses/invoices.
- Leadthe planning, implementation, and evaluation of developmentallyappropriate, inclusive, and engaging indoor and outdoor programming thataligns with the Provincial Before and After Program (BAP) requirements,and children's interests and developmental needs.
- Createand maintain a culture of inclusion, belonging, safety, and respect bymodelling YMCA core values and leadership competencies.
- Ensurecompliance with all YMCA policies and procedures, Child SafeguardingStandards, BAP requirements, Occupational Health and Safety legislation,and all mandatory training and certification requirements.
- Completesite administration, including maintaining accurate attendance records,participant documentation, incident reports, staff documentation,SharePoint records, ActiveNet information, and other required reportingwithin established timelines.
- Ensureall required documentation, including program plans, attendance records,incident reports, staff hours, and operational records, are accurate,complete, and uploaded as required.
- Maintainregular communication with families, including responding to questions andconcerns, providing updates, and distributing monthly familycommunications through ActiveNet.
- Buildand maintain strong relationships with families, school administrators,community partners, and external service providers to support positiveoutcomes for children.
- Supportstaff recruitment, onboarding, orientation, coaching, and ongoingprofessional development, while identifying learning opportunities tostrengthen team performance.
- Participatein staff performance management by completing annual performance reviewsin collaboration with the Program Manager and providing ongoing coachingand feedback throughout the year.
- EnsureYMCA equipment, technology, and program resources, including laptops,phones, radios, and other assets, are secure, maintained appropriately,and used solely for YMCA business by authorized staff.
- Ensureprogram supplies, snacks, and equipment are received, stored, inventoried,and maintained according to YMCA standards and food safety requirements.
- Attendand actively participate in mandatory leadership meetings, staff meetings,weekly supervision meetings, and other required YMCA training andprofessional development opportunities.
- Preparefor and support site audits, quality assurance reviews, ensuringoperational readiness and compliance at all times.
- Performother duties as required.
Education and skills qualifications:
- Musthave own car or access to reliable transportation
- HighschoolDiploma, or equivalent combination of education and experience, with astrong reference.
- Minimum2 years of childcare experience with demonstrable evidence of experiencelinked to the role's responsibilities
- Experiencein supervising a staff team
- Workingknowledge of school system and community resources an asset
- Demonstratedability to meet multiple, competing deadlines and priorities
- Strongattention to detail
- Excellentverbal, written, and presentation/workshop facilitation skills
- IntermediateMicrosoft Office Skills
- Flexibilityto work different shifts within the operational hours of the program
