Job description

Position Summary

Tacten is currently seeking a Site Administrator to join our team at various sites across Northern Alberta, with a primary focus on long-term support for our operations near Fort McMurray, AB. This is a site-based position responsible for daily client billing, coordinating travel and accommodations, maintaining administrative records, and supporting daily operational needs.

Responsibilities
  • Process and submit site payroll data accurately and on time
  • Client billing, including collecting and entering required documentation
  • Perform data entry, tracking, and reporting using Microsoft Excel and other internal systems
  • Coordinate and book flights, camp or hotel accommodations in accordance with company travel policies
  • Provide timely travel documentation including booking confirmations, itineraries, maps, directions, and instructions
  • Support the project team with general administrative tasks and day-to-day coordination
Requirements

Skills & Qualifications:

  • Proficiency in Microsoft Office Suite, especially Excel and Outlook; ability to manage spreadsheets, perform data entry, and work with PDFs and scanned documents

  • Strong attention to detail and accuracy in administrative and financial tasks

  • Experience with payroll and billing processes in a field or industrial environment is an asset

  • Ability to thrive in a high-pressure, team-based setting

  • Strong organizational, problem-solving, and communication skills

  • Familiarity with client booking or scheduling systems is considered an asset

  • Ability to interpret and follow company policies and procedures effectively

Education & Experience:

  • College Diploma or Certificate in Business, Office Administration, or a related field (or equivalent experience)

  • Minimum of 2 years’ experience in a similar administrative role, preferably in an industrial site setting

  • Experience working in unionized environments is an asset

  • Construction Safety Training (CSTS-09 or CSO) required

  • Must be able to pass a pre-access D&A test

Working Conditions
  • Job Type: Full-Time, Site-based role; must be comfortable working in a remote, industrial environment
  • Rotation: 14/14 – 160 hours per rotation
  • Travel & Accommodations: Camp Accommodations and Flights from Calgary or Edmonton provided
