Job summary

Our Vancouver client is seeking a detail-oriented Mailroom & Shipping Specialist to manage daily mail operations and coordinate domestic and international shipments. You’ll greet staff, couriers, and vendors, oversee inbound/outbound mail, and ensure timely, compliant shipments across Canada, the U.S., and beyond.

Ideal candidates bring strong communication, organizational, and problem-solving skills, plus experience with shipping docs and Microsoft Office.

Qualifications

  • Completion of secondary school and a Bachelor’s degree or equivalent practical experience.
  • Experience with shipping documentation and related processes is preferred.
  • Strong proficiency with Microsoft Office Suite programs.

Responsibilities

  • Welcome and assist employees, couriers, and vendors in the mailroom, ensuring a smooth and professional experience.
  • Oversee all incoming and outgoing mail, optimizing processes to support rapid growth.
  • Establish and maintain efficient shipping and receiving routines, prioritizing speed, accuracy, and consistency.
  • Coordinate and oversee all outbound shipments, ensuring products are shipped and received on schedule.
  • Collaborate with Shipping & Receiving Specialists, the Office Services Manager, and key stakeholders for smooth operations.
  • Work cross-functionally with Logistics, Technology, Product, and Brand teams to streamline processes.
  • Provide couriers with documentation for delivery exceptions and customs clearance.
  • Maintain a clean, organized mailroom, safe and productive.
  • Conduct department audits and produce reports for leadership (bi-weekly, monthly, quarterly).
  • Serve as the subject matter expert on customs requirements, shipping declarations, and packaging specs.
  • Support employees by guiding and answering shipping procedure questions.
  • Coordinate remote pick-up processes with vendors across Canada, the U.S., and internationally.
  • Maintain up-to-date shipping/receiving information on internal platforms.
  • Manage mailroom supplies and equipment; take on special projects as directed.

Be part of a busy, fast-paced mailroom and shipping operation where you will keep packages moving smoothly and be a key point of contact for employees, couriers, and vendors. The ideal candidate has experience in a similar environment and is comfortable using handheld scanning devices to receive packages, assist with employee pick-up, and accurately scan items out of the system.

This 6-month contract offers the potential to extend or transition into a permanent opportunity based on business needs and performance.

  • Support employees by offering guidance and answering queries related to shipping procedures
  • Coordinate remote pick-up processes with vendors across Canada, the U.S., and internationally
  • Maintain up-to-date shipping and receiving information on internal communication platforms for easy access and reference
  • Manage and order mailroom supplies and necessary equipment to ensure smooth operations
  • Take on special projects and additional assignments as directed by the Office Services Manager
Who- the Candidate:
  • Completion of secondary school and a Bachelor’s degree or equivalent practical experience

  • Regular lifting (up to 50 lbs.) and handling of pallets (50 lbs. or more) with care and safety

How much:

Hourly wage in the range of $29-30/hr + 4% vacation pay.

Where:

Vancouver, 5 days onsite in office.
