Job summary

Wakefield Canada Inc. is seeking a Shipping Coordinator for a 3-6 month contract to oversee receipt, storage, and timely dispatch of products. You will manage inventory controls, coordinate with multiple teams, and ensure accurate ERP/WMS transactions.

The role requires strong coordination, attention to detail, and the ability to prioritize in a dynamic environment while maintaining safety and regulatory compliance.

Qualifications

  • Post-secondary education in a related field is preferred.
  • Minimum 2 years coordinating/project management experience.
  • Experience forecasting an order schedule based on inventory levels.
  • Previous warehouse experience is an asset.
  • Strong Microsoft Excel and internet navigation skills.

Responsibilities

  • Liaise with Customer Care, Sales, Regional DCs, and Transportation Planner daily.
  • Review SOs and Release Orders to floor in WMS.
  • Process ERP transactions (ship confirms/PO receipts/stock transfers/RMAs).
  • Schedule inbound appointments for receipts or pickups.
  • Handle customer inquiries or returns.
  • Adjust inventory to maintain visibility and accuracy.
  • Rate shop and schedule 3rd party carrier pickups.
  • Collaborate with retailers and vendors on key accounts.
  • Generate monthly receipts and reports of shipping quantities.
  • Support Tank Monitor setups and annual TDG training coordination.
  • Assist with physical inventories and cycle counts.
  • Maintain warehouse safety and HSSE compliance.

Position Overview

The Shipping Coordinator is responsible for the receipt, storage, retrieval, and timely dispatch of products while managing effective inventory controls and the arrangement of goods to maximize productivity levels.

Key Accountabilities
  • Liaise with Customer Care, Sales, Regional Distribution Centers, and Transportation Planner on daily requirements.
  • Daily review of SOs, Release Orders to floor in WMS
  • Timely and accurate transactions in ERP system (ship confirms/PO receipts/stock transfers, RMA’s etc) including review of weekly open order reports.
  • Schedule inbound appointments for receipts and/or pick ups.
  • Administer customer inquiries or returns.
  • Process inventory adjustments as required to ensure accurate inventory visibility.
  • Rate shop and schedule 3rd party carrier pick-ups.
  • Work with retailers, vendors, and businesses and manage key accounts.
  • Generate and distribute monthly receipts and reports to show current POS shipping quantities.
  • Work with Transportation Planner and update Tank Monitors as required including:
    • System Setups of Monitors
    • Reviewing Tank Monitor data and analyze If monitors require new batteries,
    • Review monitors that are not functioning and or providing bad signal
      • Work with Transportation Planner / Supervisor to stay ahead of these issues
  • Work with finance team to review, approve/dispute customer fines.
  • Process carrier loss and damage claims when necessary.
  • Manage offsite customer pick-ups (prepare documentation, communication with vendor/customer).
  • Participate in yearly Physical Inventory counts, Cycle Counts and reconciliation.
  • Maintain the warehouse to meet safety regulations and ensure processes and procedures are followed.
  • Ensure that all WHMIS and HSSE regulations are adhered to.
  • Participate in TDG (Transporting Dangerous Goods) training every 3 years.
  • Special projects as required.

Education / Experience
  • Post secondary education in a related field is an asset.
  • A minimum of 2 years similar coordinating/project management experience.
  • Experience in forecasting an order schedule based on inventory levels.
  • Previous experience in a warehouse environment is a strong asset.
  • General knowledge of Supply Chain concepts and applicable provincial legislation.
  • Strong Microsoft Suite and Internet navigation skills.

Salary Range
