Job summary

Houle Electric Canada in Victoria is seeking a Service Coordinator to join our Service Division. You will lead the administrative function for the electrical service group, delivering excellent customer service and coordinating work orders and billing.

As a key liaison with field personnel and customers, you will manage clearances, schedule service visits, and ensure documentation and processes align with company standards.

Qualifications

  • 3+ years' experience in a similar administrative support/customer service role.
  • Experience with material ordering, tracking, billing, and reporting.
  • Excellent computer skills in MS Office (Word, Outlook, Excel, etc.)
  • Prior experience using service management software or similar software is an asset
  • Understanding of service operations and life cycle is an asset
  • Extremely organized work habits, patient, and customer service focused
  • Superior written and verbal English communication skills
  • Flexible with the proven ability to multitask in a changing, fast-paced environment
  • Basic electrical or construction knowledge is an asset

Responsibilities

  • Assist with obtaining, managing, and maintaining specialized clearances and certifications for field personnel
  • Serve as the primary point of contact for customer service requests received via phone and email
  • Create, coordinate, schedule, and dispatch work orders to field technicians in a timely and efficient manner
  • Coordinate with customers and site contacts to facilitate scheduling, service execution, and work order completion
  • Monitor service reports and customer documentation to ensure accurate completion and compliance with company requirements
  • Process and manage work order billing, ensuring accuracy and timely invoicing
  • Track, expedite, and coordinate material orders to support service operations and timelines
  • Upload, maintain, and organize service documentation within company systems and databases
  • Collaborate with Project Managers to coordinate quotation requests, technical requirements, and project-related support
  • Ensure consistent adherence to established company processes, procedures, and operational standards
  • Maintain organized filing systems, oversee document control processes, and manage office and operational supply inventories

Salary range: $50,000-$60,000 per year plus a competitive total compensation package. Actual salary will commensurate with experience, skills and overall match to the position offered. Let's chat throughout the hiring process and determine the best fit.
