Job summary

OpenRoad Mazda Port Moody is seeking a Service Advisor to join our Service department. You’ll handle customer inquiries, write repair orders, collect vehicle data, and coordinate service scheduling while ensuring clear communication with customers throughout the repair process.

The role emphasizes accurate documentation, timely updates, and collaboration with the Service Manager to estimate costs and completion times. A focus on customer satisfaction and vehicle care drives our team’s success.

Qualifications

  • Working knowledge of automotive equipment.
  • Mandarin language ability is a tremendous asset.
  • Strong customer service and retention techniques.
  • Proficient in maintaining records and preparing reports.
  • BC driver’s license with a clean driving record.

Responsibilities

  • Handle customer inquiries promptly and accurately, listen to vehicle concerns and write repair orders.
  • Ensure paperwork is completed accurately with all requests documented.
  • Obtain customer and vehicle data and fill in required spaces on repair orders.
  • Process paperwork as jobs are completed.
  • Review repairs with the customer at vehicle delivery.
  • Schedule service appointments with adequate time for repairs.
  • Monitor work in progress and notify customers of delays or additional work.
  • Suggest additional repairs or services when required.
  • Estimate costs and completion times; consult the Service Manager as needed.
  • Perform walk‑around inspections and note any damage.
  • Arrange for alternate transportation and manage loaner vehicles.

ROLE & RESPONSIBILITIES
  • Handle customer inquiries promptly and accurately, listen to vehicle concerns and write repair orders.
  • Ensure repair orders and all paperwork is legibly and accurately completed, with all customer requests or concerns documented.
  • Obtain all customer (including signature) and vehicle data and fill in required spaces on all repair orders.
  • Process all paperwork as jobs are completed.
  • Review all repairs and changes with the customer upon delivery of vehicle.
  • Assist in scheduling customer vehicles for service work by allowing adequate time for repairs/maintenance and securing additional time as required.
  • Monitor work‑in‑progress to ensure that repairs are performed properly and the schedule is met as promised; notify customers if delays are expected or additional work is needed.
  • Use service files to suggest additional repairs or services if required.
  • Estimate costs and completion times; consult the Service Manager for assistance as needed.
  • Identify and give special attention to repeat repairs, assigning the original technician on all comeback jobs.
  • Notify customers when back‑order parts become available.
  • Determine warranty coverage and verify repair date, mileage, etc.
  • Resolve all customer complaints for a win/win outcome; implement or suggest preventative measures to reduce complaints.
  • Perform walk‑around inspections on all customer vehicles noting damage such as scratches, dents, missing hubcaps, etc.
  • Arrange for alternate transportation as needed and manage loaner vehicles.
  • Work to improve dealership CSI and general customer satisfaction in accordance with OpenRoad’s philosophies, policies and procedures.
  • Maintain paperwork and ensure the reception area is clean and orderly.
  • Follow company safety policies and practices, and immediately report any accidents to a manager or supervisor.
  • Perform other duties as assigned by management.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED
  • Working knowledge of automotive equipment.
  • Ability to speak Mandarin – a tremendous asset.
  • Knowledge of customer satisfaction and retention techniques.
  • Ability to maintain records and prepare reports using a computerized asset maintenance system.
  • Ability to work cooperatively with all levels of the organization.
  • Excellent communication and information assimilation skills consistent with essential job functions.
  • Ability to operate assigned equipment.
  • Ability to make sound decisions consistent with the essential job functions.
  • A valid British Columbia driver’s license with a clean driving record.
