Job summary

Aecon Civil, Hamilton, ON, is seeking a Sr. Subcontract Specialist to support the Hamilton HLRT project.

Reporting to the Senior Manager, Procurement and Subcontract, you will lead subcontract planning, coordinate RFQs, and manage vendor relationships and documentation through the lifecycle. You will collaborate with safety, quality, IDD, and operations to ensure compliance with procurement plans, negotiate terms, and drive timely award decisions.

Qualifications

• 5-8 years of procurement or related experience within the construction and infrastructure industry.
• Knowledge of purchasing principles, techniques, practices and ethics.
• Knowledge of contract law, negotiating business agreements, and laws of requesting tenders, proposals, and quotations.
• Proven organizational skills and ability to work under pressure to meet deadlines.
• Ability to work effectively within a team environment and be service oriented.
• Ability to build positive working relationships with professionals within industry and internal clients.
• Strong negotiation skills in terms and conditions, pricing, escalation.
• Ability to communicate effectively, manage challenging negotiations with Subcontractors and advance oral and writing skills.
• Solid research skills and commitment to continually learn about new products.
• Intermediate Proficiency using Microsoft Office (Excel, Outlook, Word, PowerPoint) and SAP (Procure to pay).
• Construction & Engineering background preferred.

Responsibilities

• Prepare and manage major subcontract procurement planning using Path to Award Tracker.
• Conduct weekly meetings to update Path to Award with operations for visibility on package status.
• Assist operations in preparing proponents lists for RFQ packages including Indigenous vendors.
• Establishes and maintain the Subcontract filing system per project standards.
• Prepare commercial documents and collect technical documents for RFQ packages; ensure NDAs are executed.
• Coordinate with safety, quality, environmental, and IDD to gather information for RFQ evaluation.
• Manage RFQ communications/addendums using approved project software.
• Set up, chair and document bid clarification meetings with shortlist proponents.
• Prepare initial commercial evaluation & recommendations with operations.
• Complete operational and financial due diligence on shortlisted bidders (D&B reports).
• Understand standard contract terms and conditions and assist with negotiations with proponents.
• Form subcontract documents and manage signatures; file in project repository; collect supplier docs (insurance, WSIB, Form 1000, securities).
• Set up and document kickoff meetings with proponents and internal teams prior to mobilization.
• Ensure commitments in SAP for executed Subcontracts per Procurement Plans.
• Understand and ensure compliance with Procurement Plans and SOPs.
• Handoff package to contract administrator in hand-off meeting.
