About The Role
Wellspring Alberta is seeking a mission-driven and experienced Senior Project Manager to lead and support several key strategic initiatives that will help strengthen our organization and expand our impact.
This is an exciting opportunity for someone who is passionate about making a difference and brings both a systems-thinking mindset and practical skills to guide complex projects from planning through to successful implementation.
Reporting directly to the CEO, the Senior Project Manager will work closely with team members across the organization, as well as external partners and vendors, to ensure projects are delivered on time, on budget, and with a focus on long-term sustainability and alignment with the mission.
Priority Projects Include
- Implementing a program evaluation system to support data-informed decision making
- Implementing a new volunteer management system
- Developing and rolling out an organization-wide document management system
- Coordinating the preparation for a comprehensive internal audit
This role will play a key part in helping Wellspring Alberta grow and evolve while continuing to provide high-quality, compassionate support to the cancer community.
Key Responsibilities
Project Leadership and Coordination
- Lead the full lifecycle of multiple projects, from planning and requirements gathering to implementation and evaluation.
- Work collaboratively with staff, leadership, and other key internal and external stakeholders to ensure alignment with organizational needs and strategic priorities.
- Develop project timelines, budgets, work plans, and monitor progress to ensure key milestones are met.
Program Evaluation System Implementation
- Lead the design and rollout of a program evaluation system (e.g., SurveyMonkey or equivalent) to collect participant feedback and outcome data.
- Work with program and leadership teams to define survey tools, data flow, consistent processes for in person and online programming, and reporting needs.
- Ensure the system allows for data aggregation and analysis across programs, location, time periods and member demographics to support understanding of trends, outcomes, and organizational decision-making.
- Build dashboards or reports that are accessible and actionable for internal and external stakeholders.
Volunteer Management System Implementation
- Guide the selection, setup, and launch of a new system to support volunteer engagement and coordination.
- Consult with staff and volunteers to understand needs and ensure a user-friendly, effective solution.
- Support change management, training, and adoption efforts.
Document Management System Rollout
- Oversee the implementation of a system that improves how the Wellspring Alberta team stores, accesses, and manages internal documents and policies.
- Engage leadership and an internally assembled task force in designing consistent structures and protocols.
- Develop resources and training to support staff in using the new system effectively.
System Performance Review (SPR) Audit Preparation
- Coordinate the collection and organization of internal documents and data in preparation for an organization-wide system performance review audit by the Wellspring Cancer Support Foundation (WCSF)
- Establish timelines and accountability structures to ensure audit readiness.
- Act as a liaison with the WCSF audit leads and internal teams to facilitate the audit process.
Communication and Engagement
- Provide regular project updates to the CEO and leadership team, including progress reports, risks, and recommendations.
- Foster transparency and collaboration across teams and departments.
- Promote a culture of shared ownership and continuous improvement.
Qualifications
- At least 7–10 years of progressive project management experience, ideally in a nonprofit, health care, or community-based setting.
- Post-secondary education in project management, business administration, nonprofit management, or a related field (PMP certification or equivalent is a strong asset).
- Demonstrated experience leading system implementation projects (e.g., CRM, volunteer management, document management, survey or evaluation platforms).

- Comfort with data collection, survey tools, and reporting dashboards
- Proficient with the full Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and SharePoint
- Highly skilled in navigating Teams, OneDrive, and other Microsoft 365 tools
- Familiarity with project planning tools and productivity software (e.g., Microsoft 365, SharePoint, Google Workspace) is considered an asset
- Experience supporting internal audits or similar organizational review processes is a strong asset
- Lived or work experience with cancer is considered an asset. This role needs to account for the realities of a membership and workforce that live with cancer side effects such as fatigue and brain fog.
