Qualifications

  • 2+ years of progressive experience in project, program, or portfolio management.
  • Experience in portfolio governance, reporting, and prioritization.
  • Advanced proficiency in Power BI or a comparable enterprise reporting and analytics tool is required.
  • Working knowledge of financial management practices, including budgeting, forecasting, and variance analysis.
  • Experience with resource management, capacity planning, and forecasting.
  • Experience in a regulated environment, preferably within insurance or financial services.

Responsibilities

  • Manage a centralized intake process for requests and ensure clarity for stakeholders and teams.
  • Review incoming requests for completeness, feasibility, strategic alignment, and business impact.
  • Prepare, facilitate, and lead regular intake meetings and stakeholder communications.
  • Apply intake scoring and prioritization frameworks to support objective decision-making.
  • Lead intake reviews to assess resource requirements and identify capacity constraints.
  • Partner with BPMO & COBE leaders to prioritize work, manage dependencies, and address resource challenges.
  • Manage, monitor, analyze, and report on project resource allocation across BPMO & COBE.
  • Develop and maintain organizational Portfolio Dashboard and centralized resource management dashboards and reporting.

Job description

Canada Life is strengthening enterprise delivery through the continued build-out of a centralized Business Project Management Office (BPMO) within Canadian Operations Business Enablement.

Reporting to the Manager, Planning & Intake, the Senior Portfolio Planning Specialist is responsible for managing intake requests, supporting resource capacity planning, and facilitating prioritization activities across the organization.

This role works closely with stakeholders to assess new requests, evaluate resource availability, coordinate prioritization discussions, and maintain transparency through accurate reporting and executive dashboards. The specialist will provide timely insights and recommendations to support leadership decision-making and ensure alignment of initiatives with business priorities and capacity constraints. Success in this role requires strong analytical, communication, and stakeholder management skills, with the ability to collaborate effectively across all levels of the organization.

What you will do:

Manage a centralized intake process, providing a single channel for requests and ensuring clarity for stakeholders and teams.

Review and assess incoming requests for completeness, feasibility, strategic alignment, and business impact.

Prepare, facilitate, and lead regular intake meetings and stakeholder communications.

Apply intake scoring and prioritization frameworks to support objective decision-making.

Lead intake reviews to assess resource requirements and identify capacity constraints.

Partner with BPMO & COBE leaders to prioritize work, manage dependencies, and address resource challenges.

Manage, monitor, analyze, and report on project resource allocation across BPMO & COBE.

Develop and maintain organisational Portfolio Dashboard

Develop and maintain centralized resource management dashboards and reporting.

What you will bring:

2+ years of progressive experience in project, program, or portfolio management, including portfolio governance, reporting, and prioritization.

Strong analytical and reporting skills, with the ability to transform portfolio data into meaningful dashboards and executive-level insights.

Advanced proficiency in Power BI or a comparable enterprise reporting and analytics tool is required.

Working knowledge of financial management practices, including budgeting, forecasting, and variance analysis.

Experience in resource management, capacity planning, and forecasting.

Strong organizational and planning skills, with exceptional attention to detail and the ability to manage multiple priorities, deadlines, and governance cycles simultaneously.

Experience with Clarity PPM is considered a strong asset.

Experience with AI agents and Power Apps is an advantage

Experience working in a regulated environment, preferably within insurance or financial services, with exposure to Finance, Risk, and governance functions.

University degree in Business, Technology, or a related field. PMP, PfMP, Agile, and/or Scrum certifications are considered assets.

The base salary for this position is between $80,400 - $130,400 annually. This represents base salary only and does not represent other variable compensation components of our total compensation ( i.e. annual bonus, commission etc).
