Job summary

UHN Foundation in Toronto, Ontario, is seeking a Senior Events Officer to lead planning, development and execution of complex fundraising events and initiatives that advance our revenue, stewardship and engagement objectives.

The Senior Events Officer provides leadership across multiple functional areas, mentoring junior staff and coordinating with volunteers, sponsors and donors to ensure successful delivery of fundraising goals within a hybrid work model.

Qualifications

  • 5–7 years of progressive experience in fundraising events, event management, sponsorship or donor engagement.
  • Experience leading complex multi-stakeholder projects.
  • Strong budgeting, project management and relationship management skills.
  • Experience with volunteer committees, sponsors and donors.
  • Proficiency with Microsoft Office, Raiser’s Edge NXT and event management platforms.

Responsibilities

  • Serve as Event Lead or Deputy.
  • Lead for signature events and end-to-end development of major fundraising events and initiatives.
  • Develop event concepts, briefs, critical paths, work-back schedules and evaluation strategies.
  • Identify opportunities to enhance revenue generation, participant engagement and stewardship.
  • Manage event planning, stakeholder coordination, budget management and delivery; develop logistics procedures (emergency plans, permitting, health and safety, accessibility).
  • Oversee creation of all event communications and materials to align with fundraising objectives and brand standards.
  • Direct and coordinate team members, volunteers and vendors assigned to events.
  • Ensure events comply with brand standards, donor stewardship principles and fundraising best practices.

POSITION SUMMARY

Reporting to the Manager, Events, the Senior Events Officer is responsible for leading the planning, development, and execution of complex fundraising events and initiatives that advance UHN Foundation's revenue, stewardship, and engagement objectives.

The Senior Events Officer serves as the Event Lead or Deputy Lead signature fundraising events, providing leadership across multiple functional areas and stakeholder groups. Working with a high degree of independence, this role is responsible for managing event strategy, operational planning, volunteer and sponsor engagement, financial performance, and cross-functional coordination to ensure successful delivery of fundraising objectives.

The Senior Events Officer provides mentorship and guidance to junior team members and acts as a key leadership resource within the Events team while supporting the development and continuous improvement of UHN Foundation's events portfolio.

KEY RESPONSIBILITIES

  • Serve as Event Lead or Deputy
  • Lead for signature events. Lead the end-to-end strategic development and execution of major fundraising events and initiatives.
  • Develop event concepts, business cases, event briefs, critical paths, work-back schedules and evaluation strategies.
  • Identify opportunities to enhance revenue generation, participant engagement and stewardship.
  • Assume accountability for event planning, stakeholder coordination, budget management and delivery. Lead the creation of logistical procedures such as emergency action plans, permitting requirements, health and safety guidelines, and accessibility requirements.
  • Provide project management and approval oversight for the development of all event-related communications and print and digital materials, ensuring alignment with fundraising objectives, donor stewardship principles, sponsorship commitments, and UHN Foundation brand standards. Materials may include marketing campaigns, donor and sponsor communications, invitations, event programs, stewardship materials, sponsorship packages, presentations, meeting materials, signage, briefing notes, digital content, and other event collateral
  • Direct and coordinate team members, volunteers and vendors assigned to events.
  • Ensure events are delivered in alignment with UHN Foundation brand standards, donor stewardship principles, and fundraising best practices.

Budget & Financial Management

  • Develop and manage event budgets and forecasts.
  • Monitor financial performance and recommend corrective action when required.
  • Negotiate and manage vendor contracts and agreements.
  • Collaborate with the Finance department to oversee the accurate and timely processing of event revenue, sponsorship contributions, invoices, tax receipting, and financial reconciliation activities, ensuring compliance with Foundation policies and supporting strong donor stewardship and event financial performance.

Stakeholder Engagement & Stewardship

  • Serve as primary relationship manager for volunteer committees, sponsors, donors and partners.
  • Provide strategic guidance and support to volunteer committees.
  • Collaborate with fundraising teams to support donor and key stakeholder stewardship.

Cross-Functional Leadership

  • Oversee development of event communications and materials.
  • Ensure compliance with Foundation policies, privacy requirements and accessibility standards.
  • Provide mentorship and guidance to Event Officers, Associates, Coordinators and Assistants.
  • Support onboarding and training of new team members.
  • Share best practices, tools and templates across the team.
  • Ensure accurate CRM and event management data.
  • Analyze event performance and stakeholder feedback.
  • Recommend and implement process improvements.

QUALIFICATIONS & EXPERIENCE

  • A relevant diploma or degree, or an equivalent combination of education and experience.
  • 5–7 years of progressive experience in fundraising events, event management, sponsorship or donor engagement.
  • Experience leading complex multi-stakeholder projects.
  • Strong budgeting, project management and relationship management skills.
  • Experience with volunteer committees, sponsors and donors.
  • Proficiency with Microsoft Office, Raiser’s Edge NXT and event management platforms.

WORK ENVIRONMENT

  • Fast-paced, service and results oriented environment
  • May have some activity outside of the office to support meetings
  • The Foundation has a hybrid work model. Staff will be required to be in office a minimum of 2 days per week and will be required to have a safe home office set up for the remainder of the working days (specifics to be planned with your manager).
