Job summary

Richardson Wealth is seeking a Senior Case Coordinator to manage the insurance case lifecycle—from intake to underwriting, policy delivery, and ongoing client servicing. You’ll collaborate with Estate & Insurance Advisors to ensure accurate, timely case handling and maintain strong relations with internal and external partners.

Qualifications

  • 3-5+ years in insurance administration or case coordination.
  • Strong knowledge of life insurance products and policy service processes.
  • Previous customer service training.
  • Attention to detail and accuracy, along with strong organizational skills.
  • Ability to work independently and as part of a team.
  • Experience with back-office administration systems.
  • Competence in Microsoft Office applications.
  • This role requires 2 days in the office presence.

Responsibilities

  • Gathers and submits required documents for underwriting, such as medicals, motor vehicle reports and attending physician statements as required.
  • Tracks applications and follows up with insurers, advisors, and clients as needed.
  • Prepares policies for delivery to clients.
  • Provides ongoing policy servicing support to clients, including payment reminders and past due notices.
  • Processes policy changes such as PAC updates, beneficiary changes, ownership forms, addresses, and claims.
  • Responds to inquiries from EIAs, advisors, clients, insurers, accountants, and lawyers respecting confidentiality.
  • Manages upcoming policy renewals including running illustrations and coordinating timely renewal process.
  • Maintains and updates client and policy information within back-office systems.
  • Ensures all files are complete, accurate, and compliant with policies and regulatory requirements.
  • Assists in financial settlement of policies and reconciliation of policy commissions.

Position Title
Senior Case Coordinator
Position Overview

The Senior Case Coordinator is responsible for managing the insurance case lifecycle, from application intake through underwriting, policy delivery, and ongoing client servicing. They work closely with Estate & Insurance Advisors (EIAs), to ensure efficient, accurate, and timely case management. The successful candidate will play a key role in delivering a high standard of client service while supporting complex insurance cases and maintaining strong relationships across internal and external partners.

In addition, they help with ongoing client needs, policy maintenance, and renewal management, contributing to a smooth and positive experience.

Duties And Responsibilities
  • Under direction from the EIA, gathers and submits required documents for underwriting, such as medicals, motor vehicle reports and attending physician statements as required
  • Track applications and follow up with insurers, advisors, and clients as needed
  • Prepares policies for delivery to clients
  • Provides ongoing policy servicing support to clients, which includes but is not limited to payment reminders, past due notices, and NSF’s
  • Process policy changes such as PAC (pre-authorized checking) updates, beneficiary changes, ownership forms, address changes, and claims
  • Responds to inquiries from EIAs, advisors, clients, insurers , accountants, and lawyers respecting confidentiality agreements
  • Manages and tracks upcoming policy term renewals including running illustrations and coordinating timely renewal process
  • Maintains and updates client and policy information within the back-office systems on an ongoing basis
  • Ensures all electronic and physical files are complete, accurate, and compliant with the internal policies and regulatory requirements
  • Assists in the financial settlement of policies and the reconciliation of policy commissions

Education
  • University or college degree
  • LLQP Life License – Quebec license required, multi-province licensing across Canada considered an asset. Alternatively, willingness to obtain multiple licenses across Canada is considered an asset.
