Ryan is seeking a Senior Administrative Assistant to provide high-level administrative support to a team of Service Delivery professionals. The role emphasizes professionalism, confidentiality, and proactive service, aligned with Ryan’s core values of Pursue Excellence and Build Trust.

The successful candidate will manage schedules, client communications, and project files while contributing to team productivity.

Qualifications

  • High-school diploma or GED with 3+ years of administrative support experience.
  • Experience in client service within professional services or deadline-driven environments is a plus.

Responsibilities

  • Track client requests, recommendations, approvals, deadlines and follow-ups.
  • Maintain calendars and deadlines to ensure accountability and deadlines.
  • Create client/project files using Microsoft Excel and Access.
  • Manage communications when team is traveling.
  • Assist with billing, time/expense tracking and invoicing workflows.
  • Arrange travel for team members as needed.
  • Answer calls and take concise messages; escalate when needed.
  • Protect confidential information and maintain discretion.
  • Organize and prioritize tasks to meet tight deadlines.
  • Support other projects as required.

The Senior Administrative Assistant uses experience and professionalism to support a team of Service Delivery professionals in their daily responsibilities. The position’s primary focus is to provide outstanding administrative support, while representing the Firm in a professional manner, maintaining a positive attitude and functioning as a team player.

Duties and responsibilities, as they align to Ryan’s Key Results
People:
  • Contribute to a collaborative team environment in which information and responsibilities are shared.
  • Help establish consistent processes that can be followed to support team productivity.
Client:
  • Track important client requests, recommendations, approvals, deadlines and outstanding follow-up.
  • Maintains calendar appointments and deadlines to ensure proper accountability and client deadlines are observed.
  • Creates files, as needed, for clients and projects utilizing Microsoft® Excel and Access.
Value:
  • Maintains communications (e‑mail, written, phone, and fax) while team is traveling.
  • Tracks and reports time and expenses in detail for self and Manager as needed and assists with billing, bill slips, invoicing and related workflow coordination.
  • Makes travel arrangements for team members as needed.
  • Answers telephone calls and takes accurate and concise messages, escalating appropriately.
  • Handles and safeguards confidential information and sensitive material.
  • Utilizes strong grammar, spelling, and proofreading skills.
  • Organizes and prioritizes multiple tasks and completes them under time constraints.
  • Assists with other projects as needed.
  • Performs other duties as assigned.
Education and Experience:

High‑school diploma or general equivalency diploma (GED) required with three or more years related administrative support experience. Experience in client service, professional services, commercial real estate, legal services, accounting, consulting or a similar deadline‑driven environment, a plus.

Computer Skills:

To perform this job successfully, an individual must have intermediate knowledge of Microsoft® Word, Excel, Access, PowerPoint, Outlook, and Internet navigation and research.

Certificates and Licenses:

Valid driver’s license required.

Supervisory Responsibilities:

This position has no supervisory responsibilities.

Work Environment:
  • Standard indoor working environment.
  • Occasional long periods of sitting while working at computer.
  • Occasional long periods of standing while copying.
  • Position requires regular interaction with employees at all levels of the Firm; interface with clients and external vendors as necessary.
  • 40+ hour standard workweek requirement.
