Responsibilities

  • Monitor workflow intake and workflow tracker to ensure it is updated
  • Monitor assignment of jobs, ensuring deadlines are set and achieved
  • Assess priorities and coordinate workflow between teams
  • Responsible for all data entry related to producing a schedule for the Accounting and Assurance team
  • Review upcoming deadlines and work requirements with the team; coordinate the logistics and flow of work to specific team members (i.e., documents for review / signature)
  • Participate in scheduling meetings and follow-up on unresolved issues
  • Resolve scheduling conflicts with the managers and partners
  • Produce, analyze and distribute weekly reporting to the Partner and Manager group and advise management team of anomalies or trends
  • Produce ad-hoc reports from our practice management software
  • Communicate scheduling changes and updates to team members
  • Motivate others to follow processes and escalate issues / challenges as necessary
  • Maintain electronic and paper filing systems
  • Contribute to the development of new ideas and approaches to improve work processes
  • Work collaboratively with other team members and leadership
  • Actively listening to the concerns and needs of internal team members
  • Maintain flexibility to work overtime, as necessary
  • Other duties as required

Skills and Experience

  • Post-secondary education in business administration is considered an asset
  • 5+ years of increasingly complex administrative responsibilities
  • Experience in a professional services environment is considered an asset
  • Proficient in various computer programs including Microsoft Office (Excel, Outlook, Word, PowerPoint)
  • Strong client service focus in dealing with both external and internal clients
  • Excellent organizational and time management skills, with the ability to manage multiple tasks simultaneously
  • Outstanding problem solving and communication skills
