Job summary

Mackenzie Investments in Ontario is seeking a Senior Administrative Assistant to support the Regional Vice Presidents Ontario teams. The role focuses on coordinating meetings, preparing reports, and managing travel and expenses using Salesforce and MS Office.

The ideal candidate has 3+ years of administrative experience, strong communication and organizational skills, and a professional approach to handling confidential information in a fast-paced environment. Hybrid work arrangement offered.

Qualifications

  • 3+ years’ experience as an Administrative Assistant
  • Excellent communication skills, both verbal and written
  • Proficient with MS Office applications (Word, Outlook, Excel, PowerPoint) and Salesforce at the intermediate level
  • Ability to handle confidential information professionally
  • Detail-oriented with strong organizational skills

Responsibilities

  • Co-ordinate and organize team and client meetings utilizing Salesforce.
  • Monthly RTM meetings scheduled in coordination with Sales Enablement; book rooms and catering.
  • Process online SNAP requests via IGM Intranet for staffing and facilities.
  • Coordinate travel arrangements, roadshows, and prepare expense reports.
  • Provide general admin duties: scheduling, drafting reports, presentations, photocopying and scanning.
  • Prepare/maintain spreadsheets and presentations in PowerPoint; order office supplies.

Position

Mackenzie Financial Corporation is currently accepting applications for the position of Senior Administrative Assistant. This position will be part of Mackenzie’s Retail Distribution Ontario team, providing administrative support to the Regional Vice Presidents Ontario teams. The successful candidate’s specific responsibilities include:

  • Co-ordinating and organizing team and client meetings utilizing Salesforce to confirm Product Managers / client meetings.
  • Monthly Regional Team Meetings (RTM) to be scheduled in coordination with Sales Enablement, booking meeting rooms and catering.
  • Processing online SNAP requests via IGM Intranet for staffing updates as needed as well as housekeeping and facilities requests.
  • Catering requirements as needed for team meetings using internal catering or external vendors.
  • Commission Statements for Wholesalers to be distributed on a monthly basis as provided by HR Compensation.
  • Co-ordinating travel arrangements, roadshows, and preparing expense reports
  • Providing general administrative duties, such as scheduling meetings, drafting and preparing reports and presentations, photocopying and scanning
  • Supporting the teams by performing tasks as required to meet deadlines
  • Preparing / maintaining spreadsheets, analyzing data, and creating presentations in PowerPoint
  • Ordering and maintaining general office supplies.
  • Testing of internal controls and documenting procedures
  • Performing general accounting and other administrative duties as required
  • Provide coverage and share duties with other members of the administrative support team as required

The successful candidate requires the following qualifications:

  • A minimum of 3+ years’ experience as an Administrative Assistant
  • Excellent communication skills, both verbal and written, and excellent interpersonal skills to interact with individuals at all levels of the organization
  • Proficient with MS Office applications (Microsoft Word, Outlook, Excel, PowerPoint) and Salesforce at the intermediate level
  • Exceptional technology skills and digital savvy; supporting paper-free business environments; utilizing technology for document management; facilitating team collaboration, etc
  • Ability to handle confidential information professionally
  • Detail-oriented, accurate and able to perform in a fast-paced environment
  • Outstanding organizational, planning and prioritization skills
  • Ability to multi-task to manage/prioritize multiple projects simultaneously as requiredAbility to work well independently and within a team environment

The expected annual base salary range for this role is $51,000 - $64,000, which is determined based on skills, knowledge and experience and geographic location. In addition to base salary, this role is eligible for annual short-term incentive, health and well-being benefits, retirement and savings plan, paid time off and career development.
