The Senior Accountant will lead the entire corporate accounting function. You will own full-cycle accounting, the month-end close, financial statements, payroll, government remittances, inventory, cost accounting, and all reporting required by lenders, government funding partners, and external accountants.
A bookkeeper reports directly to this role, and a sales administrator supports daily AR entry; however, all core financial judgment, reconciliations, deadlines, and reporting accuracy belong to you. Our organization consists of four related companies, and this role will also maintain the books for a US distribution affiliate and a real-estate holding company.
First priority: A disciplined takeover of the function, a clean month-end close, and zero missed compliance filings.
Required Skills and Qualifications
- Experience: Minimum 5 years of progressive full-cycle accounting experience, including full ownership of a month-end close and financial statement preparation.
- Industry Background: Minimum of 2 recent years working directly within a manufacturing environment.
- Education: Post-secondary diploma or degree in Accounting, Finance, or Business.
- Technical Compliance: Hands-on inventory and cost accounting experience; direct experience running payroll and managing Ontario government remittances (CRA, HST, EHT, WSIB).
- Reporting: Experience preparing lender, grant, or other externally imposed reporting with strict, hard deadlines.
- Software: Advanced Excel skills (VLOOKUPs, Pivot Tables) and solid working knowledge of an ERP or mid-market accounting system.
- Soft Skills: Ability to work independently as the senior finance professional on-site; highly organized, deadline-driven, discreet, and willing to be fully hands-on.
Key Responsibilities
Accounting & Reporting
- General Ledger: Own the general ledger and monthly close process - including journal entries, accruals, fixed assets, bank and credit card reconciliations - and reconcile every balance-sheet account monthly with supporting schedules.
- Management Reporting: Prepare monthly financial statements and management reporting (income statement, balance sheet, cash, margin, and variance commentary) for the executive leadership team.
- AP & AR Oversight: Oversee AP and AR workflows performed by the bookkeeper and sales administrator. Approve payment runs within authorized limits, schedule vendor payments, monitor collections/aging, set customer credit limits, maintain credit-insurance reporting, and complete supplier credit applications.
- Year-End Audits: Lead the year-end process by preparing full working-paper files for external accountants and providing support for tax filings.
- Inventory Control: Own inventory accounting for raw materials, work-in-process (WIP), and finished goods - including valuation, reconciliation of physical counts performed by Operations to the ledger, and scrap tracking.
- Cost Verification: Verify material costs are entered correctly against supplier documentation at receipt, and ensure product costing accurately reflects actual materials, labor, overhead, freight, duty, and surtaxes.
- Margin Analysis: Produce product, customer, and territory margin analysis; identify and explain margin leakage alongside Operations and Sales teams; calculate monthly sales commissions per corporate policy.
Payroll & Statutory Compliance
- Payroll Administration: Run weekly payroll through the external payroll provider, including onboarding, terminations, Records of Employment (ROEs), and production bonuses. Administer the group benefits plan from the finance side and keep employee records current for legal and ROE requests.
- Compliance: File and remit all source deductions, HST, Employer Health Tax, and WSIB (quarterly) on time, every time, maintaining strict ownership of the compliance calendar.
- Lender Relations: Prepare lender reporting packages and covenant compliance certificates, proactively tracking covenant headroom.
- Government Funding: Manage the finance side of government funding programs, including tracking eligible costs, submitting claims with supporting documentation, preparing progress reports, maintaining audit-ready records, and supporting customs/duty-relief, SR&ED, and tax-credit claims.
- Customs & Logistics Finance: Manage the financial components of customs operations, including CARM and ACE accounts, duty-relief claims with the customs broker, duty disputes/refunds, and HTS/commercial-invoice requirements for US shipments.
- Treasury: Set up wires and EFTs for release, handle USD receipts and foreign exchange, send remittance confirmations, and reconcile all bank accounts.
- Affiliate Books: Maintain insurance certificates and renewals with the broker. Handle the bookkeeping, AP, payroll, US filings, and year-end tax packages for the related affiliate companies.
- Cash Forecasting: Maintain a rolling 13-week cash forecast; manage payment timing within approved limits and flag cash flow pressure points early.
- Systems & Training: Act as the finance lead for the ERP system, maintain documented procedures and controls, keep current handover documentation, and train/develop the bookkeeper and sales administrator.
