Job summary

Independent Living Services Simcoe County (ILS) is seeking a Scheduling Coordinator to join our not-for-profit team. This part-time, permanent role (28 hours/week) focuses on developing master schedules, deploying staffing resources, and coordinating client needs while ensuring accurate timekeeping for payroll.

Reporting to the Manager of Staffing and Scheduling, you will work in a fast-paced, in-office environment, with evening and weekend coverage as needed, and you’ll collaborate to mitigate

Qualifications

  • Post-secondary degree or diploma in a related field or equivalent work experience.
  • 1–2 years in employee scheduling or a high-volume, fast-paced environment.
  • Proficiency with scheduling software (GoldCare or similar) for data tracking and reporting.
  • Attention to detail with accuracy in scheduling and timekeeping.
  • Ability to seek support and accept constructive feedback.
  • Experience in a unionized setting.
  • Strong communication skills (verbal, written, listening).
  • Customer service, conflict resolution and problem-solving abilities.
  • Knowledge of OH&S legislation for community support.
  • Ability to collaborate and mitigate risk to the agency.

Responsibilities

  • Develop master schedules for daily maintenance, coordination and monitoring of employee and client schedules.
  • Deploy staffing resources to meet client requests and daily schedule changes.
  • Assist with maintaining accurate timekeeping for payroll and statistics.
  • Collaborate with managers to ensure scheduling data integrity and reporting.

What you would be doing:

Reporting to the Manager of Staffing and Scheduling, the Coordinator of Planning’s purpose is to be responsible for developing master schedules for the daily maintenance, coordination and monitoring of employee and client schedules. Through timely and accurate deployment of staffing resources, effectively manages client requests and daily schedule adjustments. Responsible for assisting with maintaining accurate timekeeping for the purpose of statistics and Payroll processing within the Agency’s established practices and guidelines.

The ideal candidate will possess:
  • Post-secondary degree or diploma in related field preferred or equivalent in working experience.
  • 1 – 2 year’s experience in employee scheduling or a comparable high-volume, fast-paced environment is considered an asset.
  • Demonstrated proficiency with scheduling software, including GoldCare or a comparable database, to support scheduling, data tracking and reporting.
  • Demonstrated work experience regarding attention to details.
  • Able to seek support when needed and deal with constructive feedback.
  • Demonstrated experience working in a unionized setting.
  • Effective communication skills (verbal, written and active listening).
  • Demonstrated customer service, conflict resolution and problem-solving skills.
  • Knowledge of Occupational Health and Safety legislation relating to community support.

Working Conditions
  • In-office attendance required during shifts.
  • Must participate in coverage needs for the Planning Center.
  • Ability to work non-traditional hours, evenings and weekends.
  • Please note this is a non-union position.
Compensation
  • Part-Time: approximately28hours per week, with an opportunity to workup to 35 hours per week
  • Salary:$28.61/hour
