Job summary

Extendicare recherche un Coordonnateur(trice) des horaires et des présences, temporaire et à temps plein, pour soutenir les services de notre établissement. Vous assignerez activement les horaires, gérerez les plannings et assurerez le suivi des heures des employés via Workday Scheduling.

Vous optimiserez la couverture des postes vacants, gérerez les absences et consoliderez les heures pour la paie, tout en participant aux démarches relatives aux congés et à la Santé et sécurité.

Coordonnateur(trice) des horaires et des présences - Temporaire - Temp Plein

Responsabilities:

• Attribuer activement les horaires de travail aux employés et gérer les plannings de personnel pour tous les services de l'établissement à l'aide du système de planification Workday.
• Gérer tous les postes vacants dus aux absences des employés, y compris les absences imprévues, les demandes de congés, les congés autorisés et les départs.
• Schedule staff coverage for any unfilled shifts by reaching out to employees and staffing agencies. Utilizes Call Multiplier (open shift management tool) to coordinate outreach.
• Vérifie et rapproche les heures de travail prévues des employés à l'aide des rapports quotidiens.
• Enregistre avec précision les activités par tranches horaires.
• S'assure que les heures réelles sont bien prises en compte pour les validations et les transmissions à la paie.
• Transmet les heures validées au service de la paie.
• Participe aux tâches administratives liées aux congés, notamment en remplissant les formulaires, en contestant les demandes et en assurant la liaison avec la Commission des accidents du travail (WCB).
• Participe aux processus administratifs liés aux nouveaux résidents, tels que la saisie des résidents dans le système PCC, la création de dossiers cliniques, la liaison avec les familles et la communauté.
• Commande, réceptionne, distribue et stocke les fournitures infirmières.
• Enquête sur les incidents liés à la santé et à la sécurité et gère les rapports d'incident.
• Organiser des réunions conjointes sur la santé et la sécurité, rédiger et publier les comptes rendus de ces réunions, et assurer le suivi des mesures correctives jusqu'à leur clôture.
• Apporter un soutien administratif, en matière de coordination et de communication au responsable des opérations et aux autres membres de la direction de l'établissement de soins de longue durée, selon les besoins.
• Jouer le rôle de ressource stratégique et/ou de membre du comité de négociation représentant l'employeur.
• Être membre du comité patronal-syndical représentant l'employeur.

English Scheduling and Attendance Coordinator - Temporary - Full Time

Key Responsibilities:

• Actively assign employees work schedules and maintain staffing schedules for all departments at the home/facility using Workday Scheduling System.
• Manage all vacant schedules due to employee absences, including unplanned absences, vacation requests, LOAs and termination.
• Schedule staff coverage for any unfilled shifts by reaching out to employees and staffing agencies.
• Utilizes Call Multiplier (open shift management tool) to coordinate outreach.
• Validates and reconciles scheduled hours worked by employees through daily reports.
• Capture activities in time blocks accurately.
• Ensure actual time is reflected for payroll approvals and submissions.
• Submit validated hours to payroll.
• Assists with leave administration activities including completing forms, challenging claims, and liaising with WCB.
• Assist with new resident administration processes, such as entering residents into PCC, creating clinical charts, liaising with families and community.
• Order, receive, distribute, and store nursing supplies.
• Investigate Health and Safety incidents and administer incident reports.
• Conduct Joint Health and Safety meetings, record, and post meeting minutes, and track corrective actions to closure.
• Provides administrative, coordination and communication support to Operations Manager and other LTC facility leadership as required.
• Act as a strategic resource and/or member of the bargaining committee representing the employer.
• Member of the labour management committee representing the employer.

This is a full-time Temporary job that finishes December 3rd 2026.
